# Duplicate invoice checks for NetSuite

NetSuite covers part of duplicate invoice checks on its own. Pulsify checks every invoice for a duplicate, including bills keyed straight into NetSuite, and asks before approval.

A duplicate invoice check stops the same supplier bill being entered and paid twice.

## What NetSuite does on its own

When a vendor bill is saved with the same Reference No. as another bill for that vendor, NetSuite may show a warning, and you can click OK to save anyway. The Duplicate Number Warnings preference also has a Warn and Block option that stops the save of a repeated document number on vendor bills and vendor credits.

- The Reference No. warning can be overridden with OK.
- Warn and Block works on the document number, so a re-typed number or a different format will not trigger it.

## What you need in NetSuite

- Reference No. filled in on every bill

## Setting it up in NetSuite

Where to find it: Transactions > Payables > Enter Bills

1. To stop a repeat from saving, set Duplicate Number Warnings to Warn and Block at Setup > Accounting > Preferences > Accounting Preferences, on the Items/Transactions subtab.
2. Type the supplier invoice number in Reference No. on every bill.
3. If the same vendor already has that number, read the warning on Save.
4. Click Cancel to change the number or OK to save anyway.
5. Build a saved search on Vendor Bill by vendor and Reference No. to find repeats.
6. Run the search before each payment run.

## Good to know in NetSuite

- With Warn and Block on, the user must click Cancel and change the document number before the record saves.
- Reference No. holds up to 45 characters.
- The Reference No. check looks at the reference number only, so a re-typed number or a different format will not trigger it.

### How to stop paying a vendor bill twice in NetSuite

Before you enter a vendor bill in NetSuite, search the vendor's bills for the same number or amount. Use one reference format and check the bill payment batch for repeats. Full guide: https://www.pulsify.tech/how-to/stop-paying-a-bill-twice-in-netsuite/

## What Pulsify adds

1. Pulsify checks every invoice against earlier ones on invoice number plus supplier, tax ID or date.
2. Bills keyed straight into NetSuite count too.
3. A file identical to one already uploaded is held. A person can process it anyway.
4. A suspected duplicate asks the approver to confirm with Approve anyway.

Pulsify connects to NetSuite. We set up the connection for you.

What Pulsify does not do:

- Pulsify never matches duplicates on amount alone.
- A duplicate flag is a warning. The approver decides.

## Common questions

### Will NetSuite stop me saving a duplicate bill?

Yes, once Duplicate Number Warnings is set to Warn and Block. It covers vendor bills and vendor credits and works on the document number. The Reference No. warning on its own lets you click OK and save.

### How do I find duplicates already in NetSuite?

Make a saved search on the Vendor Bill transaction, show Vendor, Reference No. and Amount, and sort by vendor then reference. Repeats sit next to each other.

### Why do duplicates happen?

The same invoice arrives by email and post, a supplier resends it as a reminder, or two people enter it. A statement can also be keyed as a bill.
