# Duplicate invoice checks for Sage 300 CRE

Sage 300 CRE covers part of duplicate invoice checks on its own. Pulsify checks every invoice for a duplicate, including bills keyed straight into Sage 300 CRE, and asks before approval.

A duplicate invoice check stops the same supplier bill being entered and paid twice.

## What Sage 300 CRE does on its own

Accounts Payable blocks a repeat of the same invoice number for the same vendor ID. The match must be exact. There is no check on amount or date, and two vendor IDs for one supplier let the same number through.

- Exact match only.
- Two vendor IDs for one supplier bypass it.

## What you need in Sage 300 CRE

- Sage 300 CRE Accounts Payable

## Setting it up in Sage 300 CRE

Where to find it: Accounts Payable > Tasks > Enter Invoices

1. Set up one vendor ID for each supplier and avoid duplicates.
2. Open Tasks > Enter Invoices.
3. Type the invoice number exactly as printed, including leading zeros.
4. Read the message if the invoice number already exists for the vendor.
5. Cancel the entry if it is a repeat.

## Good to know in Sage 300 CRE

- Exact match only. 000000317 and 00000317 are not caught.
- Procore lists the message Document already exists for specified vendor when an integrated invoice repeats a number.
- If many vendor IDs exist for one supplier, someone can enter the same number against each.

## What Pulsify adds

1. Pulsify checks every invoice against earlier ones on invoice number plus supplier, tax ID or date.
2. Bills keyed straight into Sage 300 CRE count too.
3. A file identical to one already uploaded is held. A person can process it anyway.
4. A suspected duplicate asks the approver to confirm with Approve anyway.

Pulsify connects to Sage 300 CRE. We set up the connection for you.

What Pulsify does not do:

- Pulsify never matches duplicates on amount alone.
- A duplicate flag is a warning. The approver decides.

## Common questions

### Does Sage 300 CRE stop duplicate invoices?

It blocks the same invoice number for the same vendor ID. The number must match exactly, so a different number of leading zeros is not caught.

### Does it check amount or date?

The Sage 300 CRE help describes no check on amount or date.

### How do I stop duplicates getting past the check?

Use a single vendor ID per supplier and type invoice numbers exactly as printed, even if that means typing many zeros.

### Why do duplicates happen?

The same invoice arrives by email and post, a supplier resends it as a reminder, or two people enter it. A statement can also be keyed as a bill.
