# Duplicate invoice checks for Sage 50

Sage 50 covers part of duplicate invoice checks on its own. Pulsify checks every invoice for a duplicate, including bills keyed straight into Sage 50, and asks before approval.

A duplicate invoice check stops the same supplier bill being entered and paid twice.

## What Sage 50 does on its own

Sage 50 Accounts shows a duplicate alert when a batch invoice or credit looks like one already entered. The check runs when you save the batch. It applies to customers, suppliers and subcontractors.

- Matching rule comes from community posts, not Sage help.

## What you need in Sage 50

- Sage 50 Accounts (UK)

## Setting it up in Sage 50

Where to find it: Suppliers > Batch invoice

1. Go to Suppliers and select Batch invoice.
2. Enter the supplier A/C, Date, Ref, N/C, net amount and tax code.
3. Press Save.
4. If Sage finds an apparent duplicate an alert appears.
5. Check the supplier account for the earlier entry and cancel the line if it is a repeat.

## Good to know in Sage 50

- Community users report the check needs account, date, amount and reference all to match. This is not official.
- Because users say all four fields must match, an invoice typed with a different reference may not be flagged.
- The alert is a warning on entry. No duplicate report across posted invoices was found.

## How to do it in Sage 50

### How to stop paying a purchase invoice twice in Sage 50

## What Pulsify adds

1. Pulsify checks every invoice against earlier ones on invoice number plus supplier, tax ID or date.
2. Bills keyed straight into Sage 50 count too.
3. A file identical to one already uploaded is held. A person can process it anyway.
4. A suspected duplicate asks the approver to confirm with Approve anyway.

Pulsify connects to Sage 50. We set up the connection for you.

What Pulsify does not do:

- Pulsify never matches duplicates on amount alone.
- A duplicate flag is a warning. The approver decides.

## Common questions

### Will Sage 50 stop me posting the same supplier invoice twice?

It shows an alert when a saved batch line looks like an existing entry. The Sage article confirms the alert. Users say account, date, amount and reference all need to match.

### What if the supplier reference was typed differently?

A different reference or date means Sage will probably not flag it. Check the supplier Activity screen before you save if the invoice may have been entered before.

### Can I run a report of possible duplicate invoices in Sage 50?

The Sage help describes no duplicate report. Sort the supplier Activity by amount or reference and look for repeats.

### Why do duplicates happen?

The same invoice arrives by email and post, a supplier resends it as a reminder, or two people enter it. A statement can also be keyed as a bill.
