# Duplicate invoice checks in S/4HANA for manufacturers

S/4HANA has duplicate invoice checks built in. Month-end volume hides duplicates. A bill sent twice in the last week is easy to approve twice.

## Why it matters for manufacturers

- Plants may receive the same invoice by email, post and portal. Each plant may then enter it.
- Recurring bills such as gas rental and maintenance contracts have the same amount each month, so a repeat looks normal.

## For manufacturers in S/4HANA

- Tick Check Double Invoice on the supplier's company code data. It is set per company code, so a supplier used by two plant company codes needs the flag in both.
- Customizing (Set Check for Duplicate Invoices) decides if a match gives a warning or an error.
- Enter the Reference on every invoice. The reference check runs only when a Reference is entered.
- If a supplier is on automated invoice settlement, SAP creates the invoice from the goods receipt. The supplier must agree not to send invoices for those POs, so a paper bill from that supplier is a duplicate to hold.

## What S/4HANA does on its own

Double invoice check per supplier. Always compares currency and gross amount. Reference, invoice date and company code are optional in configuration.

Supplier, currency and gross amount are always checked. The other fields depend on configuration.

## Example

Example Motion Parts sends invoice 3310 for conveyor belts. The plant enters it from the email. Head office enters it again from a statement a week later.

- Invoice 3310 entered by Plant 2: $4,600.00 (First entry)
- Invoice 3310 entered by head office: $4,600.00 (Same supplier, amount and number)
- GST on both: $460.00 (Would be claimed twice if both are paid)

The check flags the second entry. Only the first goes to approval, and the plant is told not to enter bills that arrive from the supplier statement.

## Common mistakes

- Letting plants and head office both enter bills for the same supplier.
- Ignoring flags at month end because the bill looks like a normal recurring one.

## Common questions

### Does the S/4HANA duplicate check run for every plant?

It runs per supplier and company code. Supplier, currency and gross amount are always compared. Reference, invoice date and company code are optional and depend on configuration. The flag must be on for each company code that uses the supplier.

### Why do manufacturers get duplicate bills?

The same bill arrives through several routes and several people enter it. Month-end rush makes it worse. Agree one inbox and one person per supplier, then check supplier, amount and date.

### Does S/4HANA warn about a double supplier invoice?

Yes, when Check Double Invoice is ticked on the supplier. It always compares supplier, currency and gross amount. Reference, date and company code are optional.
