# How to apply a supplier debit to a bill in AccountRight

In AccountRight, enter the supplier debit for the supplier card, then allocate it to the bill it credits. Pay the balance that is left.

Applying a supplier credit note means recording the credit and allocating it against the bill it reduces, so you pay only the balance.

## Before you start

- Purchases access

## The AccountRight way

Where to find it: Purchases Register > Returns & Debits tab

1. Create the debit: open the paid purchase and use Edit > Reverse Purchase, or create a debit by hand for a part credit.
2. Open Purchases Register and click the Returns & Debits tab.
3. Select the debit and click Apply to Purchase to put it against unpaid bills.
4. Or record a refund from the supplier.

## Limits in AccountRight

- The Transactions CAN'T be Changed; They Must be Reversed preference must be on to reverse a purchase.
- If you use cost centres, the debit needs the same cost centre as the bill.

## The Pulsify way

1. Forward the supplier's credit note to your Pulsify address. Pulsify recognises it as a credit note.
2. Pulsify flags a credit note with a missing or unknown original invoice, or an original smaller than the credit.
3. Choose the original bill and approve.
4. Pulsify creates the credit note in AccountRight against the original bill.

Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.

What Pulsify does not do here:

- Pulsify does not handle partial allocation across several bills.
- Credit note handling is limited to the cases listed above.

## Example in AccountRight

Example Fittings Co issues a supplier debit for a price error on an unpaid bill.

- Unpaid bill: $1,540.00 (Incl GST)
- Supplier debit: $440.00 (Applied with Apply to Purchase)
- Balance to pay: $1,100.00 (Pay this)

The $440.00 debit takes the bill to $1,100.00. Without Apply to Purchase the bill still shows $1,540.00 owing.

## Common mistakes

- Creating a debit without the bill's cost centre when you use cost centres.
- Looking for Reverse Purchase with the reversal preference off.
