# How to apply a debit adjustment to a bill in MYOB Acumatica

In MYOB Acumatica, enter the debit adjustment for the vendor, then allocate it to the bill it credits. Pay the balance that is left.

Applying a supplier credit note means recording the credit and allocating it against the bill it reduces, so you pay only the balance.

## Before you start

- Bill and payment permissions

## The MYOB Acumatica way

Where to find it: Bills and Adjustments (AP301000), Type Debit Adjustment; then Checks and Payments (AP302000)

1. Open Bills and Adjustments (AP301000) and create a new document with the Type set to Debit Adjustment.
2. Pick the vendor, type the supplier's credit note number in Vendor Ref. and enter the lines. Save the document.
3. If an approval map is set for this document type, the document waits in Pending Approval. The approver clicks Approve on the More menu and the status changes to Balanced.
4. Click Apply on the More menu. Checks and Payments (AP302000) opens with the debit adjustment selected in the Summary area.
5. On the Documents to Apply tab pick the bill or credit adjustment the credit clears.
6. Save and release the application.
7. Open Vendor Details (AP402000) to check the vendor balance has dropped. AP Register Detailed (AP622000) shows the GL batch made when the document was released.

## Limits in MYOB Acumatica

- Apply is available for documents of type Debit Adjustment.
- Pay is for documents of type Bill or Credit Adj. For a debit adjustment use Apply, not Pay.

## Good to know in MYOB Acumatica

- Tick Use Credit Terms in Debit Adjustments in AP Preferences (AP101000) if credit terms should be allowed on debit adjustments. Those debit adjustments can then be subject to cash discounts.
- On the AP Aging report (AP631000) debit adjustments carry a negative sign and reduce the totals.

## The Pulsify way

1. Forward the supplier's credit note to your Pulsify address. Pulsify recognises it as a credit note.
2. Pulsify flags a credit note with a missing or unknown original invoice, or an original smaller than the credit.
3. Choose the original bill and approve.
4. Pulsify creates the credit note in MYOB Acumatica against the original bill.

Pulsify connects to MYOB Acumatica. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not handle partial allocation across several bills.
- Credit note handling is limited to the cases listed above.

## Common mistakes

- Entering the credit with the wrong Type. Apply is only available for documents of type Debit Adjustment.
- Saving the application on Checks and Payments without releasing it.
