# How to bulk change account codes on vendor invoice records in Sage 300

No screen was found that changes the account code on many posted bills in Sage 300. Edit unposted batches before posting. Correct a posted invoice with an adjustment entry in A/P Adjustment Entry.

Bulk changing account codes means moving many bills or lines from one account to another in one go, usually after finding a coding mistake.

## Before you start

- Sage 300 Accounts Payable
- A/P security authorisation for the screen

## The Sage 300 way

Where to find it: Accounts Payable > A/P Transactions

1. Edit an unposted invoice batch in A/P Invoice Entry and change the G/L account on the detail lines before you post.
2. To correct a posted invoice, enter an adjustment in A/P Adjustment Entry. Adjustment batches hold corrections to posted transactions.
3. To change many vendor records at once, export the vendor records to a spreadsheet, edit them and import them back (the guide gives the example of changing the tax group).

## Limits in Sage 300

- No screen was found that changes the account code on many posted bills in one go.
- Posted invoices are corrected with adjustment entries, one document at a time.

## The Pulsify way

1. Fix the account in Pulsify before approval. Pulsify learns from corrections, so later bills for that vendor follow the new account.
2. For bills already in Sage 300, make the change in Sage 300.

Pulsify connects to Sage 300. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not recode bills that are already in Sage 300.
- Pulsify cannot edit locked periods. Use a journal in Sage 300.

## Common mistakes

- Treating a vendor export and import as a way to fix posted invoices. It changes vendor records, not posted documents.
- Editing unposted lines in Invoice Entry when the batch has already been posted.

## Common questions

### Can I change the account on a posted Sage 300 invoice?

Not in place. Posted invoices are corrected with an entry in A/P Adjustment Entry, one document at a time. An unposted batch can be edited in A/P Invoice Entry before you post.

### Is there a bulk recode screen?

No screen was found that changes the account code on many posted invoices in one go. For vendor records you can export to a spreadsheet, edit and import back, as the guide does for the tax group.

### What is an adjustment batch?

Adjustment batches hold corrections to posted transactions. You enter them in A/P Adjustment Entry.

### Does Pulsify recode old bills?

No. Pulsify codes bills before they reach your accounting system. Past bills are changed in your accounting system.
