# How to bulk change account codes on purchase invoice records in Sage X3

No bulk account change tool was found for Sage X3. A posted invoice cannot be changed. Edit the invoice before posting. After posting, enter a reclass journal entry to move amounts between accounts.

Bulk changing account codes means moving many bills or lines from one account to another in one go, usually after finding a coding mistake.

## Before you start

- Sage X3 Financials and Purchasing
- Function and site rights for the screen

## The Sage X3 way

Where to find it: Financials > Invoices > Purchase invoices

1. Edit the invoice before it is posted.
2. A posted invoice cannot be changed. Post a reclass journal entry to move amounts between accounts.
3. Recode before validation. After recording an invoice, you generate its accounting entries by selecting Validation, or you schedule validation for later with the Invoice validation function.
4. If you try to change a posted invoice, X3 blocks it with the message "Invoice posted, modification or deletion prohibited!". Use a reclass journal entry instead.

## Limits in Sage X3

- No bulk account change tool found in the help or in forums.
- An invoice with payments recorded cannot be deleted. X3 shows the message "Payments carried out, deletion prohibited!".
- The accounting date sets the posting period and must fall in an open fiscal year. Whether you can change it on the invoice depends on the parameter PIHACCDAT (ACH chapter, INV group).

## The Pulsify way

1. Fix the account in Pulsify before approval. Pulsify learns from corrections, so later bills for that supplier follow the new account.
2. For bills already in Sage X3, make the change in Sage X3.

Pulsify connects to Sage X3. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not recode bills that are already in Sage X3.
- Pulsify cannot edit locked periods. Use a journal in Sage X3.

## Common mistakes

- Trying to edit a posted invoice, when only a reclass journal entry works.
- Posting before the account coding is checked.

## Common questions

### Can I change the account on a posted purchase invoice?

No. Vendor help (X3 v12) says a posted invoice can no longer be modified. Post a reclass journal entry to move amounts between accounts.

### Is there a bulk recode tool?

No bulk account change tool was found in the help or in forums.

### When can I edit an invoice?

Before it is posted. Fix the coding then.

### Can I delete a posted purchase invoice and enter it again?

No. X3 blocks changes and deletion on a posted invoice. If payments are recorded, it also blocks deletion with a separate message. Use a reclass journal entry.

### When does an invoice get its accounting entries?

When you select Validation on the invoice, or when you run the Invoice validation function later. Check the coding before that step.

### Does Pulsify recode old bills?

No. Pulsify codes bills before they reach your accounting system. Past bills are changed in your accounting system.
