# How to check a vendor's ABN in CloudSuite Industrial

Look up the vendor's ABN on ABN Lookup, then save it in CloudSuite Industrial. Check the status is active, the name matches and the supplier is registered for GST.

Checking an ABN means confirming the number on an invoice is valid, active and, if GST is charged, registered for GST.

## The CloudSuite Industrial way

Where to find it: Vendors form

1. Enter the tax registration number in Tax ID on the Taxes tab of the Vendors form (one per tax system)
2. Check it against ABN Lookup outside the system
3. Open the Vendors form, turn off filter-in-place mode and choose Actions > New. Give the vendor a number and name, then set Terms, Payment Type and Bank Code on the Credits tab.
4. On the Taxes tab enter the registration number in Tax ID, and a tax code if you use one, for the tax system that matches GST. There are two sets: Tax System (1) and Tax System (2).

## Limits in CloudSuite Industrial

- There is no ABN Lookup check. The field is a general Tax ID
- On the Multi-Site Vendors form the Tax ID and Tax Codes fields do not exist. Use the Vendors form at the site.
- Which tax system holds the ABN is a setup choice. The guide does not name an ABN field.

## Good to know in CloudSuite Industrial

- A vendor number you leave blank is assigned the next number, and a vendor prefix from Accounts Payable Parameters counts towards a limit of 10 characters.
- Ship From, Remit To and Contacts tabs hold the address and contact details that print on reports and payments.
- If a vendor's payment type is EFT you also enter the electronic funds transfer details.

## The Pulsify way

1. Forward the supplier's invoice to Pulsify.
2. Pulsify checks the ABN against the ABR. It flags an invalid ABN, a missing ABN and an ABN not registered for GST when the invoice charges GST.
3. It also flags an ABN that differs from the one on the vendor record in CloudSuite Industrial.
4. Fix the vendor record or query the vendor, then approve.

Pulsify connects to CloudSuite Industrial. We set up the connection for you.

What Pulsify does not do here:

- If the ABN lookup is not available, Pulsify flags that it could not validate.

## Common mistakes

- Assuming the Tax ID field is checked against the ABR.
- Entering the ABN against the wrong tax system.
