# How to check a supplier's ABN in Sage X3

Look up the supplier's ABN on ABN Lookup, then save it in Sage X3. Check the status is active, the name matches and the supplier is registered for GST.

Checking an ABN means confirming the number on an invoice is valid, active and, if GST is charged, registered for GST.

## Before you start

- Sage X3 Financials and Purchasing
- Function and site rights for the screen

## The Sage X3 way

Where to find it: Financials > Invoices > Purchase invoices

1. Enter the supplier ABN in the Company number field (CRN) on the supplier record. The Australian derived language changes the label from Site Tax ID no.
2. Set the company parameter AUSABNWRN (Warn supplier without ABN, LOC chapter, AUS group) to Yes.
3. When you enter or import a purchase or supplier invoice for an AU supplier with no ABN, X3 shows a warning.

## Limits in Sage X3

- The check only tests that an ABN is entered. It does not look the ABN up on the ABN register.
- Needs the KAU Australian localisation activity code.
- GST group members also need an ABN.

## The Pulsify way

1. Forward the supplier's invoice to Pulsify.
2. Pulsify checks the ABN against the ABR. It flags an invalid ABN, a missing ABN and an ABN not registered for GST when the invoice charges GST.
3. It also flags an ABN that differs from the one on the supplier record in Sage X3.
4. Fix the supplier record or query the supplier, then approve.

Pulsify connects to Sage X3. We set up the connection for you.

What Pulsify does not do here:

- If the ABN lookup is not available, Pulsify flags that it could not validate.

## Common mistakes

- Thinking the warning proves the ABN is valid, when it only tests that one is entered.
- Forgetting the KAU activity code, so the Australian parameters do not appear.

## Common questions

### Where do I enter the ABN?

In the Company number field (CRN) on the supplier record. The Australian derived language changes the label from Site Tax ID no.

### How do I get a warning for a missing ABN?

Set the company parameter AUSABNWRN (Warn supplier without ABN) to Yes. X3 then warns when you enter or import an invoice for an AU supplier with no ABN.

### Does X3 look the ABN up?

No. The check only tests that an ABN is entered. It does not look the ABN up on the ABN register. It also needs the KAU Australian localisation activity code.

### What does Pulsify check?

Format, ABR status, GST registration and a match with the supplier record.
