# How to check supplier invoice lines against agreed supplier prices in SYSPRO

Keep the agreed price list for each supplier outside SYSPRO. Compare each supplier invoice unit price to the list and query any difference. Update the list when prices change.

Checking against agreed prices means comparing the unit price on each invoice line to the price list or quote you agreed with the supplier.

## The SYSPRO way

Where to find it: AP Invoice Posting > GRN matching

1. Match the invoice to GRN lines.
2. SYSPRO compares the invoice value to the GRN merchandise value and reports the variance.
3. SYSPRO only checks GRN matching when the GRN suspense system required setup option is on and GRN matching is required for the supplier.
4. If the value gap goes over the maximum GRN variance set in Setup Options, SYSPRO shows Acceptable variance exceeded. The operator cannot go on unless the AP Override GRN variance eSignature allows it.

## Limits in SYSPRO

- It checks the invoice value against the GRN merchandise value only. It does not check against agreed supplier price lists.
- The GRN Invoice Variance report lists the difference between the receipt value and the invoice value for matched GRNs.
- The variance is the supplier's invoice value, net of tax, freight and miscellaneous charges, against the merchandise value of the GRN lines. It is a value check, not a price list check.

## Good to know in SYSPRO

- The AP Untick GRN matching required eSignature decides who can skip the GRN match. Without it, an invoice cannot be posted until a GRN line is selected.
- For foreign currency invoices matched to GRNs, the Post GRN unrealized forex variance option needs unrealized variance ledger codes set first.
- AP Invoice Automation reads scanned invoices and matches the PO number and detail lines to GRNs. Lines with no GRN are allocated by hand.

## The Pulsify way

1. Upload a CSV price list for the supplier in Pulsify. Map the item code, description and unit price columns.
2. Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
3. A higher or lower unit price is flagged. A line not on the list is marked.
4. Approve or query the supplier.

Pulsify connects to SYSPRO. We set up the connection for you.

What Pulsify does not do here:

- Pulsify checks unit price only, not quantity.
- One unit price per item. No price history.
- A mismatch is a warning and does not block approval.

## Example in SYSPRO

Example Plumbing Supplies delivers 40 lengths of pipe at the agreed $18.50 and the invoice charges $18.80. You match the invoice to the GRN.

- GRN merchandise value: $740.00 (40 x $18.50)
- Invoice value net of tax: $752.00 (40 x $18.80)
- GRN variance: $12.00 (Compared with the maximum GRN variance)

A $12.00 variance posts if it is inside your maximum. If it is over, the operator is stopped unless they hold the override eSignature.

## Common mistakes

- Expecting agreed supplier price lists to be checked.
- Not running the GRN Invoice Variance report after posting.
