# How to check sales and use tax coding on payable invoice records in Sage 100 Contractor before you file

In Sage 100 Contractor, run the tax report by sales tax or use tax rate for the period. Review large bills, out-of-state vendors and exempt purchases, fix wrong sales tax or use tax rate entries and accrue use tax where it applies.

A pre-filing check means reviewing bills for wrong tax codes, missing use tax and tax charged by sellers on exempt purchases before you file your state sales and use tax return.

## Before you start

- Sage 100 Contractor Accounts Payable
- Use tax accounts set in 1-8 General Ledger Setup

## The Sage 100 Contractor way

Where to find it: 4-2 Payable Invoices/Credits; 1-8 General Ledger Setup > Posting Accounts > Use Tax; 3-1-11 Sales Tax Report

1. Review payable invoices for the period. Check that sales tax imported from each PO is right and that nobody overwrote it by hand.
2. Check invoices where the vendor charged no tax. Each one should have the Use Tax District chosen and a use tax amount.
3. Check the use tax accounts you set in 1-8 General Ledger Setup on the Posting Accounts tab. Look at the balance for the period.
4. Run the 3-1-11 Sales Tax Report for sales tax you charged on receivable invoices.
5. Use these figures to prepare your state sales and use tax return outside the software.

## Limits in Sage 100 Contractor

- A Sage user idea says there is no report for use tax across payable invoices. Some users post it to a separate account for each district and report from that.
- The 3-1-11 Sales Tax Report covers tax on receivable invoices and not purchases.
- The Sage help does not describe a filing tool. State returns are prepared outside the program.

## Good to know in Sage 100 Contractor

- Use tax rates are held on the vendor record. They only apply when you click the Use Tax button on the invoice.

## The Pulsify way

1. Forward bills to Pulsify through the period.
2. Pulsify sets a tax code on each line from the tax rate printed on that line.
3. A tax rate on the invoice that has no matching tax code in Sage 100 Contractor is flagged.
4. Review flags before approval, so fewer errors reach Sage 100 Contractor.

Pulsify connects to Sage 100 Contractor. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not prepare or file sales or use tax returns.
- Pulsify does not work out use tax.
- It does not check bills already in Sage 100 Contractor.

## Common mistakes

- Assuming every vendor invoice with no tax has use tax calculated. It only applies when you click the Use Tax button or choose the district.
- Relying on the Sales Tax Report for purchases. It covers tax on receivable invoices.

## Common questions

### How do I check sales tax on payable invoices before filing?

Review the invoices for the period. Sales tax from a PO imports into the grid and recalculates when you change Quantity or Price, unless someone overwrote it by hand. Check any hand-edited tax lines.

### Is there a use tax report in Sage 100 Contractor?

A Sage user idea says there is no report for use tax across payable invoices. Users describe posting it to a separate account for each district and reporting from the account. Check your version in case that has changed.

### Does Sage 100 Contractor file state sales tax returns?

The Sage help does not describe a filing tool. Use the invoice figures and the 3-1-11 Sales Tax Report to prepare the return, and file it with your state.
