# How to close the month in accounts payable in Sage 300

In Sage 300, enter and approve all A/P invoice records dated in the month, accrue goods received, reconcile the Aged Payables report to the ledger, then lock the period.

Closing the month in AP means making sure every bill for the month is entered, approved and coded and the payables balance ties out.

## Before you start

- Sage 300 Accounts Payable
- Security authorisation for the screen

## The Sage 300 way

Where to find it: Accounts Payable > A/P Transactions and A/P Periodic Processing

1. Post the invoice, payment and adjustment batches for the period.
2. Print and file the posting journals.
3. Print Vendor Transactions and Aged Payables.
4. Run Periodic Processing > Create G/L Batch so A/P posts to the ledger.
5. Reconcile the A/P control account to Aged Payables. Run Year End Processing at year end.

## Limits in Sage 300

- The Vendor Transactions report is the audit trail of posted transactions.

## The Pulsify way

1. Clear the Pulsify queue: approve, reject or archive each bill waiting.
2. Forward missing bills from suppliers to your Pulsify address.
3. Reconcile key supplier statements in Pulsify.
4. Then run reports and lock the period in Sage 300.

Pulsify connects to Sage 300. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not post accruals.
- Aged payables and period locks are in Sage 300.

## Common mistakes

- Closing without running Create G/L Batch, so A/P has not posted to the ledger.
- Reconciling the A/P control account before every batch is posted.
