# How to close the month in accounts payable in Sage Intacct

In Sage Intacct, enter and approve all bill records dated in the month, accrue goods received, reconcile the AP aging report to the ledger, then lock the period.

Closing the month in AP means making sure every bill for the month is entered, approved and coded and the payables balance ties out.

## Before you start

- Accounts Payable supervisor for AP summaries
- General Ledger: Close books for the GL

## The Sage Intacct way

Where to find it: Accounts Payable close summaries; General Ledger > All > Books > Close

1. Post, approve or clear the open bills for the period.
2. Run Vendor aging and reconcile it to the AP control account.
3. Close the AP transaction summaries (or reopen only AP if you need to change one).
4. Go to General Ledger > All > Books > Close, pick To the end of period and select Close books.

## Limits in Sage Intacct

- AP summary rights and GL close rights are separate. Only the accounting manager usually closes GL books.
- After close, use an adjusting journal entry or reopen the books.
- Closing the books also closes open transaction summaries.

## The Pulsify way

1. Clear the Pulsify queue: approve, reject or archive each bill waiting.
2. Forward missing bills from suppliers to your Pulsify address.
3. Reconcile key supplier statements in Pulsify.
4. Then run reports and lock the period in Sage Intacct.

Pulsify connects to Sage Intacct. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not post accruals.
- Aged payables and period locks are in Sage Intacct.

## Common mistakes

- Closing GL books before Vendor aging is reconciled to the AP control account.
- Closing AP summaries while bills are still waiting for approval.

## Common questions

### Who can close the books?

AP summary rights and GL close rights are separate. Only the accounting manager usually closes GL books.

### What does closing the books do to AP?

### What if I need to change something after close?

Use an adjusting journal entry or reopen the books.

### Does Pulsify lock periods?

No. Lock the period in your accounting system.
