# How to close the month in accounts payable in SAP B1

In SAP B1, enter and approve all A/P invoice records dated in the month, accrue goods received, reconcile the vendor ageing report to the ledger, then lock the period.

Closing the month in AP means making sure every bill for the month is entered, approved and coded and the payables balance ties out.

## Before you start

- Posting period authorisation

## The SAP B1 way

Where to find it: Administration > System Initialization > Posting Periods

1. Clear open items.
2. Reconcile A/P to the G/L.
3. Set the posting period status. Use the status that still lets people post late A/P invoices until you are done, then Period Closing, then Locked.

## Limits in SAP B1

- One status stops sales documents but allows other documents and A/P invoices.
- Locked means nothing can be posted.
- Archived periods are set by the archive wizard.

## The Pulsify way

1. Clear the Pulsify queue: approve, reject or archive each bill waiting.
2. Forward missing bills from suppliers to your Pulsify address.
3. Reconcile key supplier statements in Pulsify.
4. Then run reports and lock the period in SAP B1.

Pulsify connects to SAP B1. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not post accruals.
- Aged payables and period locks are in SAP B1.

## Common mistakes

- Going straight to Locked before the last supplier invoices are entered.
- Closing the period before A/P is reconciled to the G/L.

## Common questions

### Which posting period status keeps A/P open for late invoices?

SAP has a status that stops sales documents but still allows other documents and A/P invoices. Use it while late supplier invoices come in.

### What does Locked do?

Nothing can be posted. Use it only after A/P is reconciled to the G/L and the late invoices are in.

### Where do I set the status?

Administration > System Initialization > Posting Periods. You need posting period authorisation to change it.

### Does Pulsify lock periods?

No. Lock the period in your accounting system.
