# How to connect Procore to Xero or MYOB for supplier invoices

Connect Xero or MYOB in Pulsify first, then connect Procore under Job Software. Confirm the suggested matches for jobs, cost codes and suppliers. One approval then sends the claim or direct cost to Procore and the bill to your ledger.

## Short answer

1. Connect Xero or MYOB in Pulsify.
2. Connect Procore under Job Software. The first sync lands you in mapping.
3. Confirm the suggested matches and map retention once.
4. Approve each bill once. It posts to Procore and to your ledger.

Pulsify's pages for this job: [Procore Xero integration](/integrations/procore-xero/) and [Procore MYOB integration](/integrations/procore-myob/). Setup for new Procore customers runs in monthly cohorts.

## Before you start

- Admin access to Xero or MYOB and to Procore.
- Your job list, cost codes and supplier ABNs in a state you trust.
- A place to forward supplier invoices, such as your accounts inbox.
- The account you code retention to.

## What the two systems do on their own

Per Pulsify's Procore pages, Procore's own connector carries projects, cost codes, commitments and subcontractor claims into Xero. For MYOB, the pages say its own connector covers MYOB Acumatica Construction, not MYOB Business or AccountRight.

Supplier invoices for materials, plant hire and consumables arrive by email. They do not enter Procore on their own. Reading those invoices is the job below.

## The Pulsify way

1. Connect Xero or MYOB first. An Admin does this on Settings > Company > Integrations.
2. Connect Procore under Job Software. Commitments, variations, projects and vendors sync from Procore.
3. The first sync lands you in mapping. Jobs match on how past bills were coded, then on the job code. Suppliers match on ABN. Cost codes match on the account past bills for that code landed on. Confirm exact matches in bulk and decide the rest.
4. Pick the retention account once. Retention comes across from the Procore claim as its own line.
5. Forward supplier invoices. A bill with a commitment is checked line by line against its own commitment line plus approved variations. A line cannot claim more than that line has left.
6. A bill with no commitment, such as plant hire, takes the direct cost path. It is coded to the job and account, then posted to Procore as a direct cost.
7. Approve once. If a record is still unmapped, approval is blocked and the record is named. After approval the claim goes to Procore and the bill goes to Xero or MYOB with the PDF attached.

Sub jobs: for Xero the job lands in a tracking category. For MYOB a Procore project with sub jobs maps to a MYOB header job, with each sub job as its own MYOB job. Every line is coded to a sub job, because MYOB will not take a cost against a header job.

## Worked example

Example Plumbing Supplies has a commitment on Project 2207. Line 1 is $40,000 and $9,000 is already claimed, so $31,000 is left.

An invoice claims $14,000 on line 1. It passes. If it claimed $35,000 on that line, approval would stop and name the line. A separate two-week plant hire bill of $1,450 has no commitment. It is coded to Equipment Hire against Project 2207 and posts to Procore as a direct cost.

## Common mistakes

- Connecting Procore before the ledger. Connect Xero or MYOB first.
- Skipping the unmapped records. Approval is blocked until they are mapped.
- Coding a MYOB cost to a header job. Use a sub job.

## Common questions

### Does Procore sync supplier invoices to Xero or MYOB?

Procore's own connector carries projects, cost codes, commitments and subcontractor claims. Supplier invoices for materials and plant hire arrive by email and never enter Procore on their own. Pulsify reads those and posts the bill and the direct cost.

### Does this work with MYOB AccountRight?

Yes. Pulsify posts into MYOB Business and MYOB AccountRight. Procore's own connector covers MYOB Acumatica Construction only, per our Procore MYOB page.

### Is it available to everyone now?

Pulsify is onboarding new Procore customers in a cohort each month. Book a call to find out how customers have saved hours per week after switching.
