# How to control vendor bank detail changes in Sage 100 Contractor

Do not change vendor bank details in Sage 100 Contractor from an email. Phone the vendor on a number you already hold, get a second approval, then update the vendor record.

A bank detail change is when a vendor asks you to pay a new routing number or account number. It is a common fraud route.

## Before you start

- Company administrator set-up in the 7-2-2 User List (you do not need to log in with Administrator rights to view history)

## The Sage 100 Contractor way

Where to find it: View > Record history / Field history

1. Limit who can edit vendor records with Sage security.
2. Open the vendor and choose View > Record history to see each change with user, date and before and after values.
3. View > Field history shows changed fields in yellow; press F12 on a field for its history.
4. Open the vendor record in a window that has a View menu. History is only available on windows with that menu.
5. In the Record history list, filter by database table, user or application when there are many rows. The application column tells you whether a change came from Sage 100 Contractor, Database Administration or SQL Server Management Studio.
6. Click a row to open the History Details window. It lists each field in the record with its value before and after the change, so you can compare an old and new bank or payee detail side by side.
7. With Field history on, a changed field shows a yellow background. Click the field and press F12 to open a History window listing the ID of each person who changed it, the date, the before and after values and the application.

## Limits in Sage 100 Contractor

- No bank detail call-back or approval step.
- Field history is read-only; you cannot edit while it is on.
- History is kept for 180 days by default. The retention policy is set for the company in Database Administration, so a bank change older than the policy will not be listed unless the period was lengthened.
- The history options switch off when you close the window or move to another record, so check each vendor one at a time.

## Good to know in Sage 100 Contractor

- The history shows who changed the record and when, but it is a review tool. Nothing in the help describes a hold, a second approver or a call-back to the supplier before a changed detail is used on a payment.
- A regular review is the practical control: open the vendor, check Record history for recent changes by table and user, and confirm any bank detail change with the supplier on a known phone number.

## The Pulsify way

1. Forward the supplier's invoice to Pulsify.
2. Pulsify compares the bank details on the invoice with the vendor record in Sage 100 Contractor.
3. If they differ, Pulsify flags it with the system value.
4. Verify with the vendor by phone before you approve.

Pulsify connects to Sage 100 Contractor. We set up the connection for you.

What Pulsify does not do here:

- Pulsify flags a mismatch. It does not decide whether the new details are real.
- It cannot verify details a vendor has never had in Sage 100 Contractor.

## Common mistakes

- Relying on record history alone. It records changes but does not stop them.
- Leaving vendor edit rights open to everyone.
