# How to control supplier bank detail changes in Sage X3

Do not change supplier bank details in Sage X3 from an email. Phone the supplier on a number you already hold, get a second approval, then update the supplier record.

A bank detail change is when a supplier asks you to pay a new BSB or account. It is a common fraud route.

## Before you start

- Sage X3 Financials and Purchasing
- Function and site rights for the screen

## The Sage X3 way

Where to find it: Financials > Invoices > Purchase invoices

1. Restrict who can edit supplier bank details with function rights.
2. Suppliers have a Bank details tab and a Payment hold checkbox that excludes the supplier from automatic payments.
3. Use the dispute field (Warning or Hold) to block new transactions while you verify a change.

## Limits in Sage X3

- No approval or call-back step for bank detail changes was found.

## The Pulsify way

1. Forward the supplier's invoice to Pulsify.
2. Pulsify compares the BSB and account number on the invoice with the supplier record in Sage X3.
3. If either differs, Pulsify flags it with the system value.
4. Verify with the supplier by phone before you approve.

Pulsify connects to Sage X3. We set up the connection for you.

What Pulsify does not do here:

- Pulsify flags a mismatch. It does not decide whether the new details are real.
- It cannot verify details a supplier has never had in Sage X3.

## Common mistakes

- Leaving bank detail editing open to everyone in AP.
- Not using Payment hold while a bank change is being verified.
