# How to enter a bill with line items in AccountRight

In AccountRight, open a new bill, pick the supplier card, add one line per invoice row with an account and tax code, then check the total matches the invoice.

Entering a supplier bill with line items means recording each row of the invoice (item, quantity, price, account and GST) instead of one lump sum.

## Before you start

- A user role with Purchases access (Basics plan has Spend Money only)

## The AccountRight way

Where to find it: Purchases command centre > Enter Purchases

1. Choose the supplier. You cannot change the supplier after recording.
2. Set Tax Inclusive if the prices include GST.
3. Pick the layout (Service, Item, Professional or Miscellaneous) and the Purchase Type Bill.
4. Enter lines: for services Description, Acct No, Amount, Job and Tax/GST. For items Item Number, quantity, price and tax code.
5. Add Freight and any amount Paid Today, then click Record.

## Limits in AccountRight

- Not available in AccountRight Basics.
- Miscellaneous layout bills cannot be printed or emailed.

## Good to know in AccountRight

- Purchase numbers can be set to warn on duplicates (see T17).

## The Pulsify way

1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every printed row as its own line.
2. Pulsify finds the supplier card in AccountRight and suggests an account for each line from how that supplier card was coded before.
3. Review the lines in Pulsify. Fix any account or tax code and approve.
4. On approval, Pulsify creates the bill in AccountRight with the original file attached.

Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.

What Pulsify does not do here:

- Pulsify aims for 99% accuracy, but you still review each bill before approval.

## Example in AccountRight

Example Cable Co bills you for cable, connectors and a courier charge. You pick the Service layout with Tax Inclusive off.

- Cable: $780.00 (Acct No: materials account, Tax/GST: GST)
- Connectors: $112.50 (Acct No: materials account, Tax/GST: GST)
- Courier: $45.00 (Acct No: freight account, Tax/GST: GST)

Subtotal $937.50 plus GST $93.75 gives a bill total of $1,031.25. Check it against the invoice, then click Record.

## Common mistakes

- Choosing the Miscellaneous layout and then trying to print or email the bill. Miscellaneous layout bills cannot be printed or emailed.
- Forgetting to set Tax Inclusive when the prices on the invoice include GST.
