# How to enter a vendor invoice with line items in Sage 300 CRE

In Sage 300 CRE, open a new invoice, pick the vendor, add one line per invoice row with a ledger account and tax code, then check the total matches the invoice.

Entering a supplier bill with line items means recording each row of the invoice (item, quantity, price, account and GST) instead of one lump sum.

## The Sage 300 CRE way

Where to find it: Accounts Payable > Enter Invoices

1. Open Accounts Payable and choose invoice entry.
2. Enter the vendor, invoice number, date and the full gross amount.
3. Enter distribution lines with job, cost code and account.
4. Save, or save as pending.

## Limits in Sage 300 CRE

- Menu names can differ by version, so check them in your own install.

## The Pulsify way

1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every printed row as its own line.
2. Pulsify finds the vendor in Sage 300 CRE and suggests an account for each line from how that vendor was coded before.
3. Review the lines in Pulsify. Fix any account or tax code and approve.
4. On approval, Pulsify creates the invoice in Sage 300 CRE with the original file attached.

What Pulsify does not do here:

- Pulsify aims for 99% accuracy, but you still review each bill before approval.

## Common mistakes

- Entering a net amount when the steps ask for the full gross amount of the invoice.
- Leaving the job or cost code off a distribution line, so the cost has no job to land on.

## Common questions

### Do I enter the invoice with or without GST?

The steps on file say to enter the full gross amount, then spread it over distribution lines. Menu names come from secondary sources and the official Accounts Payable guide is not public, so check the screens in your own Sage 300 CRE.

### Can I save an invoice before it is ready to post?

The steps say you can save it as pending. Sources say that with the approval system on, pending invoices do not reach the GL or job cost until they are approved and posted.

### What goes on each distribution line?

Partner and help sources describe a job, cost code and account on each distribution line. Enter them line by line, not once for the whole invoice.
