# How to enter a purchase invoice with line items in Sage 50

In Sage 50, open a new purchase invoice, pick the supplier, add one line per invoice row with a nominal code and VAT code (T-code), then check the total matches the invoice.

Entering a supplier bill with line items means recording each row of the invoice (item, quantity, price, account and VAT) instead of one lump sum.

## Before you start

- Sage 50 Accounts (UK)

## The Sage 50 way

Where to find it: Suppliers > Batch invoice

1. Go to Suppliers and select Batch invoice.
2. Enter the supplier A/C, Date, Due on (from the supplier terms; 30 days if none), Ref, N/C (nominal code), Dept, Details, net amount and tax code.
3. To split an invoice add separate lines. Lines with the same account, date and reference group together.
4. Check the batch totals and press Save.

## Limits in Sage 50

- You cannot print a batch invoice.
- Purchase orders and stock need Sage 50 Accounts Professional (Purchase order processing).

## Good to know in Sage 50

- Lines with the same account, date and reference are grouped.

## The Pulsify way

1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every printed row as its own line.
2. Pulsify finds the supplier in Sage 50 and suggests an account for each line from how that supplier was coded before.
3. Review the lines in Pulsify. Fix any account or VAT code (T-code) and approve.
4. On approval, Pulsify creates the purchase invoice in Sage 50 with the original file attached.

Pulsify connects to Sage 50. We set up the connection for you.

What Pulsify does not do here:

- Pulsify aims for 99% accuracy, but you still review each bill before approval.

## Common mistakes

- Using different references on lines of one invoice, so they do not group together.
- Leaving supplier terms blank, so Due on falls back to 30 days.
