# How to get purchase invoice records in by email to Business Central

Set up one address for purchase invoice records. Ask each vendor to send invoices there. Read and enter each one into Business Central, with the original file attached.

Getting bills in by email means suppliers or your team forward invoices to one address and the data is read and entered for you.

## Before you start

- Payables Agent set up with a Microsoft 365 mailbox
- Billing for Copilot credits
- Agent permissions

## The Business Central way

Where to find it: Payables Agent

1. Set up a Microsoft 365 mailbox for invoices (a shared mailbox works).
2. Turn on the Payables Agent and give agent supervisors access.
3. The agent reads PDFs from the mailbox and fills Inbound E-Documents.
4. Supervisors check the drafts and finalise the unposted purchase invoice.
5. Approval and posting stay manual.

## Limits in Business Central

- Only emails with PDF attachments. Up to 10 attachments, 10 pages and 5 MB per PDF.
- Up to 100 emails and 500 invoices per day.
- Approval flows and anomaly detection are not supported by the agent.
- Billed by Copilot credits. The first 50 invoices in trial mode are free.

## Good to know in Business Central

- New vendors the agent creates are blocked until someone unblocks them.
- English (Australia) is a supported language.

## The Pulsify way

1. Each company gets its own Pulsify forwarding address. Ask suppliers to send invoices there, or forward them yourself.
2. Pulsify reads each attachment and works out if it is an invoice, a credit note or a statement.
3. Pulsify finds the vendor in Business Central and codes each line.
4. Review and approve. The purchase invoice is created in Business Central with the file attached.

Pulsify connects to Business Central. We set up the connection for you.

What Pulsify does not do here:

- Unknown senders can be held until an admin allows them.
- You can also upload files or take a photo in the app.

## Common mistakes

- Expecting the agent to approve or post. Approval and posting stay manual.
- Missing that new vendors the agent creates are blocked until someone unblocks them.
