# How to get invoice records in by email to Sage 300 CRE

Set up one address for invoice records. Ask each vendor to send invoices there. Read and enter each one into Sage 300 CRE, with the original file attached.

Getting bills in by email means suppliers or your team forward invoices to one address and the data is read and entered for you.

## The Sage 300 CRE way

## Limits in Sage 300 CRE

- Capture comes from add-ons such as Sage Paperless Construction and other partner tools.

## What to watch in Sage 300 CRE

- The official help site checked only serves Mobile Dashboard help. The Accounts Payable guide is not on the public Sage document site.
- The version 24 release notes list no email capture feature.
- Sources point to add-ons such as Sage Paperless or Xtracta based tools. Ask the vendor how invoices reach AP and whether they create pending invoices.
- Import Invoices reads a comma-delimited text file. It does not read a PDF or scan.

## The Pulsify way

1. Each company gets its own Pulsify forwarding address. Ask suppliers to send invoices there, or forward them yourself.
2. Pulsify reads each attachment and works out if it is an invoice, a credit note or a statement.
3. Pulsify finds the vendor in Sage 300 CRE and codes each line.
4. Review and approve. The invoice is created in Sage 300 CRE with the file attached.

Pulsify connects to Sage 300 CRE. We set up the connection for you.

What Pulsify does not do here:

- Unknown senders can be held until an admin allows them.
- You can also upload files or take a photo in the app.

## Example in Sage 300 CRE

Example Hardware Wholesale gets 60 supplier invoices a week by email. Base Sage 300 CRE Accounts Payable has no capture. A capture add-on writes a comma-delimited text file for Import Invoices.

- Capture file for Monday, 12 invoices: $8,600.00 (Imported once)
- The same capture file imported again by mistake: $8,600.00 (Import Invoices does not warn)
- Imported invoices: $8,600.00 (Imported only. They do not post)

The second import doubles the invoices because the Import Invoices task gives no warning. The clerk keeps a log of file names and reviews the imported invoices before posting.

## Common mistakes

- Expecting email or scan capture in the base AP.
- Importing the same capture file twice. The Import Invoices task does not warn you.

## Common questions

### Can Sage 300 CRE take invoices by email?

Base AP has no capture feature. Sources point to add-ons such as Sage Paperless Construction and other partner tools.

### Does Import Invoices count as capture?

No. It reads a comma-delimited text file, not a PDF or scan. It is a file import, and importing does not post.

### What should I ask an add-on vendor?

Ask how invoices reach AP, which versions it supports and whether it creates pending invoices.

### Can I just forward invoices to Pulsify?

Yes. Every company has its own forwarding address. Send or forward invoices there.
