# How to handle a partial delivery against a purchase order in Business Central

In Business Central, keep the purchase order open, check each purchase invoice against what has been billed so far and close the purchase order only when the last delivery is invoiced.

A partial delivery is when a supplier delivers and bills only part of a purchase order, so the PO stays open with a balance.

## Before you start

- Purchase orders

## The Business Central way

Where to find it: Purchase Order > Lines > Qty. to Receive

1. Open the purchase order.
2. Enter the delivered amount in Qty. to Receive and post the receipt.
3. Qty. Received shows a lower figure than Quantity.
4. Invoice what arrived. The rest stays open for later deliveries.

## Limits in Business Central

- Over-receipts need an over-receipt code with a tolerance percent on the item or vendor.

## The Pulsify way

1. Sync your open POs from Business Central to Pulsify.
2. Forward each purchase invoice. Pulsify links it to the purchase order and matches lines on quantity and unit price.
3. Pulsify shows how much of the purchase order is claimed, what this purchase invoice adds and what is left.
4. Pulsify flags a line that bills more than what is left on the purchase order.
5. Approve. The purchase invoice is created in Business Central against the purchase order.

Pulsify connects to Business Central. We set up the connection for you.

What Pulsify does not do here:

- Pulsify matches to within 1 cent and has no tolerance setting.
- A lower quantity than the purchase order line is not flagged, because partial delivery is normal.

## Example in Business Central

Example Roofing Supplies orders 50 sheets at $40 each on one purchase order. Prices exclude GST. Only 30 sheets arrive first.

- First receipt, 30 sheets: $1,200.00 (Qty. to Receive: 30)
- Still to arrive, 20 sheets: $800.00 (Left open on the order)

Invoice the $1,200 that arrived. The order stays open for the other $800 of sheets.

## Common mistakes

- Typing the full quantity in Qty. to Receive when only part arrived.
- Receiving above the order with no over-receipt code set.

## Common questions

### How do I receive part of an order?

Enter the delivered amount in Qty. to Receive on the order lines and post the receipt. Qty. Received then shows a lower figure than Quantity.

### What happens to the rest?

Invoice what arrived. The rest stays open for later deliveries.

### Can I accept more than was ordered?

Over-receipts need an over-receipt code with a tolerance percent on the item or vendor.

### Does Pulsify handle partial deliveries?

Yes. It tracks the PO balance across invoices and flags a line that goes over what is left.
