# How to handle a partial delivery against a purchase order in Dynamics 365 Finance

In Dynamics 365 Finance, keep the purchase order open, check each vendor invoice against what has been billed so far and close the purchase order only when the last delivery is invoiced.

A partial delivery is when a supplier delivers and bills only part of a purchase order, so the PO stays open with a balance.

## Before you start

- Supply Chain Management procurement

## The Dynamics 365 Finance way

Where to find it: Purchase order > Receive > Product receipt

1. Post a product receipt for the part that arrived.
2. Create the invoice with quantity defaulted from Product receipt quantity or Receive now.
3. The Invoice remainder keeps the rest open.

## Limits in Dynamics 365 Finance

- Partial price totals are checked on the last invoice for that order line.

## Good to know in Dynamics 365 Finance

- The order only becomes Invoiced when invoice and deliver remainders are 0.

## The Pulsify way

1. Sync your open POs from Dynamics 365 Finance to Pulsify.
2. Forward each vendor invoice. Pulsify links it to the purchase order and matches lines on quantity and unit price.
3. Pulsify shows how much of the purchase order is claimed, what this vendor invoice adds and what is left.
4. Pulsify flags a line that bills more than what is left on the purchase order.
5. Approve. The vendor invoice is created in Dynamics 365 Finance against the purchase order.

Pulsify connects to Dynamics 365 Finance. We set up the connection for you.

What Pulsify does not do here:

- Pulsify matches to within 1 cent and has no tolerance setting.
- A lower quantity than the purchase order line is not flagged, because partial delivery is normal.

## Example in Dynamics 365 Finance

Example Fastener Co receives a purchase order for 500 brackets at $6.00, which is $3,000.00 before GST. The brackets arrive in two deliveries.

- First delivery, 350 brackets: $2,100.00 (Product receipt quantity 350, invoiced)
- Second delivery, 150 brackets: $900.00 (Invoice remainder, 150 brackets)

The order becomes Invoiced only when the invoice and deliver remainders are 0, after the second delivery is received and invoiced. Partial price totals are checked on that last invoice.

## Common mistakes

- Expecting the order to close after a partial invoice. It only becomes Invoiced when the remainders are 0.
- Waiting for price totals to be checked on each partial invoice, when it happens on the last invoice for that order line.

## Common questions

### How do I invoice part of an order?

Post a product receipt for the part that arrived. Create the invoice with quantity defaulted from Product receipt quantity or Receive now. The Invoice remainder keeps the rest open.

### When does the order show as Invoiced?

Only when the invoice and deliver remainders are 0.

### When are partial price totals checked?

On the last invoice for that order line, not on each partial invoice.

### Does Pulsify handle partial deliveries?

Yes. It tracks the PO balance across invoices and flags a line that goes over what is left.
