# How to handle a partial delivery against a purchase order in Sage 100 Contractor

In Sage 100 Contractor, keep the purchase order open, check each payable invoice against what has been billed so far and close the purchase order only when the last delivery is invoiced.

A partial delivery is when a supplier delivers and bills only part of a purchase order, so the PO stays open with a balance.

## Before you start

- Inventory Add-On Module

## The Sage 100 Contractor way

Where to find it: 12-Inventory > 12-4 Purchase Order Receipts

1. Open 12-4 Purchase Order Receipts and enter the quantity received (and serial numbers for serialised parts).
2. On saving, Sage creates a payable invoice with status 2-Review or 3-Dispute and posts it to the ledger using the PO accounts.
3. When the vendor invoice arrives, recall and adjust the invoice.

## Limits in Sage 100 Contractor

- The receipts window only takes quantities, not prices.

## The Pulsify way

1. Sync your open POs from Sage 100 Contractor to Pulsify.
2. Forward each payable invoice. Pulsify links it to the purchase order and matches lines on quantity and unit price.
3. Pulsify shows how much of the purchase order is claimed, what this payable invoice adds and what is left.
4. Pulsify flags a line that bills more than what is left on the purchase order.
5. Approve. The payable invoice is created in Sage 100 Contractor against the purchase order.

Pulsify connects to Sage 100 Contractor. We set up the connection for you.

What Pulsify does not do here:

- Pulsify matches to within 1 cent and has no tolerance setting.
- A lower quantity than the purchase order line is not flagged, because partial delivery is normal.

## Common mistakes

- Trying to key prices on the receipt.
- Leaving the receipt-created invoice unchanged when the vendor invoice arrives.

## Common questions

### How do I record a part delivery?

Open 12-4 Purchase Order Receipts and enter the quantity received. Serial numbers apply for serialised parts. You need the Inventory Add-On Module.

### What happens when I save a receipt?

Sage creates a payable invoice with status 2-Review or 3-Dispute and posts it to the ledger using the PO accounts.

### Can I enter prices on a receipt?

No. The receipts window takes quantities only. When the vendor invoice arrives, recall and adjust the invoice.

### Does Pulsify handle partial deliveries?

Yes. It tracks the PO balance across invoices and flags a line that goes over what is left.
