# How to handle a partial delivery against a purchase order in Sage Intacct

In Sage Intacct, keep the purchase order open, check each bill against what has been billed so far and close the purchase order only when the last delivery is invoiced.

A partial delivery is when a supplier delivers and bills only part of a purchase order, so the PO stays open with a balance.

## Before you start

- Purchasing subscription

## The Sage Intacct way

Where to find it: Purchasing > All > Transactions > convert the purchase order

1. Open the purchase order (State must be Pending or Partially converted) and convert it to a PO receipt with the quantity received.
2. The Partial conversion handling setting on the transaction definition decides what happens next: Leave transaction open, Close original and create a back order, or Close transaction.
3. With Leave transaction open the PO shows Partially converted and keeps the remaining quantity.
4. Convert again for the rest. To close what you will never receive, convert with the quantities left as they are, or set a line quantity to 0 to keep it open.

## Limits in Sage Intacct

- You cannot convert more than the source quantity.
- You cannot edit a Partially converted transaction until downstream transactions are deleted.
- Match tolerances do not support the Close original and create back order setting.

## Good to know in Sage Intacct

- The tolerance on quantity can allow a small over or under receipt.

## The Pulsify way

1. Sync your open POs from Sage Intacct to Pulsify.
2. Forward each bill. Pulsify links it to the purchase order and matches lines on quantity and unit price.
3. Pulsify shows how much of the purchase order is claimed, what this bill adds and what is left.
4. Pulsify flags a line that bills more than what is left on the purchase order.
5. Approve. The bill is created in Sage Intacct against the purchase order.

Pulsify connects to Sage Intacct. We set up the connection for you.

What Pulsify does not do here:

- Pulsify matches to within 1 cent and has no tolerance setting.
- A lower quantity than the purchase order line is not flagged, because partial delivery is normal.

## Common mistakes

- Choosing Close transaction as the partial conversion setting, so the balance of the PO is gone.
- Trying to edit a Partially converted PO before deleting what was created from it.

## Common questions

### What happens to a PO after a part delivery?

It depends on Partial conversion handling on the transaction definition. With Leave transaction open the PO shows Partially converted and keeps the remaining quantity.

### Can I convert more than was ordered?

No. You cannot convert more than the source quantity.

### Can I edit a PO that is Partially converted?

Not until downstream transactions are deleted. Match tolerances also do not support the Close original and create back order setting.

### Does Pulsify handle partial deliveries?

Yes. It tracks the PO balance across invoices and flags a line that goes over what is left.
