# How to handle a partial delivery against a purchase order in Sage X3

In Sage X3, keep the purchase order open, check each purchase invoice against what has been billed so far and close the purchase order only when the last delivery is invoiced.

A partial delivery is when a supplier delivers and bills only part of a purchase order, so the PO stays open with a balance.

## Before you start

- Purchasing module

## The Sage X3 way

Where to find it: Purchasing > Receipts; Purchasing > Invoices > Invoices

1. Create a receipt for the quantity received. Receipts can be created from orders.
2. Whether the order line closes depends on the POHCLE parameter (PO line closing method) and the closing indicator on the receipt line.
3. Invoice the quantity received by preloading the receipt lines.
4. The open order balance stays available for later receipts.

## Limits in Sage X3

- A receipt line that is partially invoiced can no longer have its quantity changed.

## Good to know in Sage X3

- Receipt tolerances cover short and excess quantity and early or late delivery.

## The Pulsify way

1. Sync your open POs from Sage X3 to Pulsify.
2. Forward each purchase invoice. Pulsify links it to the purchase order and matches lines on quantity and unit price.
3. Pulsify shows how much of the purchase order is claimed, what this purchase invoice adds and what is left.
4. Pulsify flags a line that bills more than what is left on the purchase order.
5. Approve. The purchase invoice is created in Sage X3 against the purchase order.

Pulsify connects to Sage X3. We set up the connection for you.

What Pulsify does not do here:

- Pulsify matches to within 1 cent and has no tolerance setting.
- A lower quantity than the purchase order line is not flagged, because partial delivery is normal.

## Common mistakes

- Ticking the closing indicator on a partial receipt, closing the order line early.
- Changing the receipt quantity after part of it is invoiced.

## Common questions

### Does the order close after a part delivery?

It depends on the POHCLE parameter (PO line closing method) and the closing indicator on the receipt line. The open order balance stays available for later receipts.

### Can I change a receipt that is part invoiced?

No. A receipt line that is partially invoiced can no longer have its quantity changed.

### Does X3 allow a short or late delivery?

Receipt tolerances cover short and excess quantity and early or late delivery.

### Does Pulsify handle partial deliveries?

Yes. It tracks the PO balance across invoices and flags a line that goes over what is left.
