# How to import vendor invoice records from a CSV into Sage 300

In Sage 300, use the import template for A/P invoice records. Fill one row per line, keep the same invoice number on every line of a bill, test with a few rows, then import.

Importing bills from a CSV means loading many supplier bills into your accounting system from one spreadsheet instead of typing each one.

## Before you start

- Sage 300 Accounts Payable
- Security authorisation for the screen

## The Sage 300 way

Where to find it: Accounts Payable > A/P Invoice Entry > File > Import

1. Open the screen (for example A/P Invoice Entry) and use File > Import.
2. Choose the format and file and set the import options.
3. Imported batches show as Imported. Edit them only if Allow Edit Of Imported Batches is on in A/P Options.

## Limits in Sage 300

- Import is also available for vendor records and setup records.
- Template columns come from the export fields (File > Display Export Fields).

## What to watch in Sage 300

- Open a screen such as A/P Invoice Entry and use File > Import. Choose the format and file and set the import options.
- Template columns come from the export fields. See them with File > Display Export Fields.
- Imported batches show as Imported. You can edit them only if Allow Edit Of Imported Batches is on in A/P Options.
- Invoice import columns were not checked in detail. Test with a small file first.
- Import is also available for vendor records and setup records.

## Example in Sage 300

Example Pipe Fittings sends two bills to load. The bookkeeper opens A/P Invoice Entry, uses File > Display Export Fields to see the columns and builds a three row test file.

- INV-901 elbow joints, 60 at $4.50: $270.00 (Row 1)
- INV-901 couplings, 20 at $6.00: $120.00 (Row 2, same invoice number)
- INV-902 delivery: $35.00 (Row 3, new invoice number)

Three rows make two vendor bills. INV-901 is $390.00 ex GST. INV-902 is $35.00 ex GST. The batch shows as Imported.

## Common mistakes

- Trying to edit an imported batch with Allow Edit Of Imported Batches switched off.
- Building the file layout by guesswork instead of from the export fields.
