# How to job cost supplier invoice records in IFS Cloud

In IFS Cloud, create each project, tag each supplier invoice line with the project using code parts and run a cost-by-project report each month.

Job costing supplier bills means tagging each bill line to a job so you can see cost against budget for every job.

## Before you start

- Project module

## The IFS Cloud way

Where to find it: Manual Supplier Invoice > project code part

1. Put the project in the project code part on each posting line
2. On Manual Supplier Invoice add a posting line. Enter the account, press Tab to pull in a saved pre-posting, then fill the other code parts and the amount.
3. Set the project code part on every posting line. The invoice counts as finally posted when the Balance field is zero.
4. If you tie each posting line to an invoice line with the Line ID Ref field, the balance of every invoice line must be zero, not just the total.

## Limits in IFS Cloud

- The invoice header amount must equal the invoice line totals before the invoice can be posted.
- Cost postings for the net amount are typed in by hand on a direct entry. Only PO-matched invoices get them automatically.

## Good to know in IFS Cloud

- On a PO-matched invoice the cost postings come from the posting instructions on each PO line, so the project is set when the PO is raised rather than at invoice entry.
- The Pre posting dialog with Affect Line Postings turned on suggests the saved code parts when you add a line.
- To split cost across affiliated companies, change the Voucher Company field. Posting types IP13 and IP14 must exist for the inter-company amounts.

## The Pulsify way

1. Forward the supplier's invoice to Pulsify. Pulsify reads every row as its own line.
2. Review each line's account and set the job where it applies.
3. Route bills to the person who knows the job, using approval rules.
4. Approve. The supplier invoice is created in IFS Cloud with each line.

Pulsify connects to IFS Cloud. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not split lines by percentage.
- Job reports are run in IFS Cloud.

## Common mistakes

- Leaving the project code part empty on a posting line.
- Using the project code part without the Project module set up.

## Common questions

Put the project in the project code part on each posting line in Manual Supplier Invoice.

### Can one invoice cost several projects?

Each posting line has its own code parts, so use one posting line for each project.

### What do I need?

The Project module.

### Can Pulsify split by percentage?

No. Enter separate lines with set amounts.
