# How to job cost purchase invoice records in Sage 200

In Sage 200, create each job, tag each purchase invoice line with the job using analysis codes and cost centres and run a cost-by-job report each month.

Job costing supplier bills means tagging each bill line to a job so you can see cost against budget for every job.

## Before you start

- Sage 200 Project Accounting
- Purchase Order Processing
- Purchase Ledger integration switched on in Project Accounting

## The Sage 200 way

Where to find it: Purchase Order Processing > Purchase Orders > order line > Project Analysis

1. Enter the purchase order line and fill Project and Project item in the Project Analysis section.
2. Free text items: a committed cost posts to the project when you record the goods received. The actual cost posts when you record the purchase invoice, and Sage 200 adds the project analysis to the invoice itself.
3. Stock items: the cost posts to the project when stock is issued to the project in Stock Control, not at the invoice. Do not enter project analysis on the invoice.
4. If the confirmed stock price differs from the cost posted at issue, a Confirmed Price Adjustment transaction posts to the project.

## Limits in Sage 200

- Project analysis fields only show if integration is on in Project Accounting settings.
- UK product; job costing uses the name 'project'.

## The Pulsify way

1. Forward the supplier's invoice to Pulsify. Pulsify reads every row as its own line.
2. Review each line's account and set the job where it applies.
3. Route bills to the person who knows the job, using approval rules.
4. Approve. The purchase invoice is created in Sage 200 with each line.

Pulsify connects to Sage 200. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not split lines by percentage.
- Job reports are run in Sage 200.

## Common mistakes

- Entering project analysis on the invoice for a stock item, when the cost posts at issue.
- Filling in the Project fields on order lines without Purchase Ledger integration switched on.
