# How to job cost A/P invoice records in Sage 300

In Sage 300, create each project, tag each A/P invoice line with the project using distribution codes and optional fields and run a cost-by-project report each month.

Job costing supplier bills means tagging each bill line to a job so you can see cost against budget for every job.

## Before you start

- Sage 300 Project and Job Costing

## The Sage 300 way

Where to find it: Accounts Payable > A/P Invoice Entry > Details

1. On the invoice select the Project and Job Costing option.
2. For each detail enter the contract, project and category.
3. Posting updates the project and creates entries to Work-In-Progress and Payables Control.

## Limits in Sage 300

- Details must be all job-related or all not job-related.

## The Pulsify way

1. Forward the supplier's invoice to Pulsify. Pulsify reads every row as its own line.
2. Review each line's account and set the job where it applies.
3. Route bills to the person who knows the job, using approval rules.
4. Approve. The A/P invoice is created in Sage 300 with each line.

Pulsify connects to Sage 300. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not split lines by percentage.
- Job reports are run in Sage 300.

## Example in Sage 300

Example Steel Fabrication sends one vendor invoice for $4,500 before tax. The Project and Job Costing option is selected and both details are job-related.

- Steel beams: $3,000.00 (Contract EX-100, Project Alpha, Category Materials)
- Crane hire: $1,500.00 (Contract EX-100, Project Beta, Category Equipment)

Details total $4,500.00 before tax. On posting, each project is updated and entries are created to Work-In-Progress and Payables Control.

## Common mistakes

- Mixing job-related and non-job-related details on one invoice.
- Leaving out the category on a detail, when each one needs a contract, project and category.
