# How to job cost purchase invoice records in Sage X3

In Sage X3, create each project, tag each purchase invoice line with the project using analytical dimensions and run a cost-by-project report each month.

Job costing supplier bills means tagging each bill line to a job so you can see cost against budget for every job.

## Before you start

- Sage X3 Financials and Purchasing
- Function and site rights for the screen

## The Sage X3 way

Where to find it: Financials > Invoices > Purchase invoices > Management tab (Project field)

1. On the purchase invoice, enter a Project code in the Project field (PJTH). It sets the project on the lines, and you can change a line.
2. Whether the code is free text or must exist depends on the parameter CTLOPPCOD (Mandatory project control, TC chapter, MIS group).
3. Use the Default dimensions on the invoice header to carry analytical dimensions.
4. Report costs by project from your own reports, because X3 has no standard project cost report for this.

## Limits in Sage X3

- Invoices can carry several projects at once. The One project per document parameter does not apply to invoices.
- Full project accounting and job costing are listed by iStart under financials. Check the module with your partner.

## The Pulsify way

1. Forward the supplier's invoice to Pulsify. Pulsify reads every row as its own line.
2. Review each line's account and set the job where it applies.
3. Route bills to the person who knows the job, using approval rules.
4. Approve. The purchase invoice is created in Sage X3 with each line.

Pulsify connects to Sage X3. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not split lines by percentage.
- Job reports are run in Sage X3.

## Common mistakes

- Leaving the project code off some lines.
- Entering a free text project code when CTLOPPCOD forces an existing code.

## Common questions

### How do I tag a purchase invoice to a project in Sage X3?

Enter a Project code on the purchase invoice header or line (field PJTH). The parameter CTLOPPCOD decides whether the code must already exist.

### Can one invoice cover several projects?

Yes. Invoices are managed in multiple-project mode, because a supplier can bill several orders for different projects on one invoice.

### Is this fully confirmed?

The project field on the invoice is documented. A project cost report is not, so build your own report for costs by project.

### Can Pulsify split by percentage?

No. Enter separate lines with set amounts.
