# How to match an AP invoice to a purchase order in Kinetic

In Kinetic, open the purchase order, compare each AP invoice line to the purchase order line on quantity and unit price and query any difference before you approve.

Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay.

## Before you start

- Receipt posted

## The Kinetic way

Where to find it: AP Invoice Entry > Get > Get Not Invoiced Receipts

1. Receive goods against the PO
2. In AP Invoice Entry choose Get > Get Not Invoiced Receipts
3. Select the receipt lines that meet tolerance
4. Enter the invoice amounts and post

## Limits in Kinetic

- Matches to receipts, so no receipt means nothing to match

## Good to know in Kinetic

- Multiple POs can be applied to one invoice

## The Pulsify way

1. Sync your open POs from Kinetic to Pulsify.
2. Forward the supplier's invoice. Pulsify links it to the right purchase order.
3. Pulsify matches each line on quantity and unit price, to within 1 cent.
4. Review flags for price differences, extra quantity and lines not on the PO.
5. Approve. The AP invoice is created in Kinetic against the purchase order.

Pulsify connects to Kinetic. We set up the connection for you.

What Pulsify does not do here:

- Pulsify has no tolerance setting. It compares to the cent.
- Flags are warnings. Your approver decides.

## Common mistakes

- Invoicing before the receipt is posted.
- Picking receipt lines without checking they meet tolerance.

## Common questions

### How do I match an invoice to a receipt?

Receive the goods against the PO. In AP Invoice Entry choose Get > Get Not Invoiced Receipts, select the receipt lines that meet tolerance, enter the invoice amounts and post.

### What if there is no receipt?

Matching is to receipts, so no receipt means nothing to match. Receive first.

### Can one invoice cover more than one PO?

Yes. Multiple POs can be applied to one invoice.

### What does Pulsify flag?

A unit price that differs from the PO, a quantity above the PO line and lines that are not on the PO.
