# How to match a bill to a purchase order in MYOB Business

In MYOB Business, open the purchase order, compare each bill line to the purchase order line on quantity and unit price and query any difference before you approve.

Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay.

## Before you start

- Purchases access

## The MYOB Business way

Where to find it: Purchases > Purchase orders > open the order > Convert to bill

1. Open the purchase order.
2. Click Convert to bill (top or bottom of the order).
3. Check the quantities and prices against the supplier invoice.
4. Enter the supplier invoice number and save.

## Limits in MYOB Business

- MYOB Business does not compare the bill to the order. You check by eye.

## Good to know in MYOB Business

- Once converted, the order leaves the Purchase orders list and shows under Bills.

## The Pulsify way

1. Sync your open POs from MYOB Business to Pulsify.
2. Forward the supplier's invoice. Pulsify links it to the right purchase order.
3. Pulsify matches each line on quantity and unit price, to within 1 cent.
4. Review flags for price differences, extra quantity and lines not on the PO.
5. Approve. The bill is created in MYOB Business against the purchase order.

Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.

What Pulsify does not do here:

- Pulsify has no tolerance setting. It compares to the cent.
- Flags are warnings. Your approver decides.

## Example in MYOB Business

Example Plumbing Supplies sends an invoice for an order of 25 plasterboard sheets at $14.20. You click Convert to bill.

- Order line: 25 sheets at $14.20: $355.00 (Copied to the bill)
- Invoice line: 25 sheets at $15.10: $377.50 (You edit the price and spot the $22.50 gap by eye)
- Delivery charge: $30.00 (Extra line, not on the order)

MYOB Business shows no alert for the $22.50 price difference or the $30.00 delivery charge. Compare each line with the invoice before you save.

## Common mistakes

- Assuming MYOB Business shows a mismatch alert. You compare prices and quantities yourself.
- Looking for the order in Purchase orders after converting. It moves to Bills.
