# How to match a vendor bill to a purchase order in NetSuite

In NetSuite, open the purchase order, compare each vendor bill line to the purchase order line on quantity and unit price and query any difference before you approve.

Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay.

## Before you start

- Purchase Orders
- Permission: Bills (Edit)
- Advanced Receiving for item receipts

## The NetSuite way

Where to find it: Transactions > Payables > Bill Purchase Orders

1. Open the Bill Purchase Orders list and pick the PO, or use the Bill button on the PO.
2. On the new bill check the quantity, rate and amount that came across.
3. Change the bill to match the supplier invoice.
4. Save. The PO shows as billed.

## Limits in NetSuite

- Three-way match means the bill is checked against the PO and item receipt.
- Service lines on a PO do not get an item receipt.

## Good to know in NetSuite

- The 3-way match workflow sends bills with differences to the supervisor.

## The Pulsify way

1. Sync your open POs from NetSuite to Pulsify.
2. Forward the supplier's invoice. Pulsify links it to the right purchase order.
3. Pulsify matches each line on quantity and unit price, to within 1 cent.
4. Review flags for price differences, extra quantity and lines not on the PO.
5. Approve. The vendor bill is created in NetSuite against the purchase order.

Pulsify connects to NetSuite. We set up the connection for you.

What Pulsify does not do here:

- Pulsify has no tolerance setting. It compares to the cent.
- Flags are warnings. Your approver decides.

## Common mistakes

- Typing a new vendor bill instead of billing from the PO, so the PO stays open.
- Expecting an item receipt for a service line, which NetSuite does not create.

## Common questions

### How do I bill a purchase order in NetSuite?

Open the Bill Purchase Orders list and pick the PO, or use the Bill button on the PO. Check the quantity, rate and amount that came across, change them to match the supplier invoice, then Save. The PO shows as billed.

### Does NetSuite do three-way match?

Yes. Three-way match checks the bill against the PO and item receipt. The 3-way match workflow sends bills with differences to the supervisor. Item receipts need Advanced Receiving.

### Do service lines on a PO get an item receipt?

No. Service lines on a PO do not get an item receipt, so they cannot be matched to a receipt.

### What does Pulsify flag?

A unit price that differs from the PO, a quantity above the PO line and lines that are not on the PO.
