# How to raise a purchase order and get it approved in CloudSuite Industrial

In CloudSuite Industrial, create a purchase order with the vendor, lines and prices. Submit it for approval and send it to the vendor only after it is approved.

Raising a purchase order means writing down what you are buying, from whom and at what price and getting sign-off before you order.

## Before you start

- Purchasing module

## The CloudSuite Industrial way

Where to find it: Purchase Orders / Purchase Order Builder

1. Create a PO requisition (manually or from a customer order, job or planned order)
2. A user with the right authorisation changes each requisition line to Approved. Their PO Req Limit and PO Req Line Limit on the Users form must cover the line amount
3. Run Convert PO Requisition to create PO lines from the approved lines

## Limits in CloudSuite Industrial

- Approval is on requisition lines. The Approver field on the requisition header is information only and is not checked

## The Pulsify way

1. Raise and approve the purchase order in CloudSuite Industrial as usual.
2. When the invoice arrives, Pulsify links it to the purchase order and matches the lines.
3. Differences in quantity or price are flagged for review before approval.

Pulsify connects to CloudSuite Industrial. We set up the connection for you.

What Pulsify does not do here:

- Raising and creating POs in Pulsify works with Xero only today. For CloudSuite Industrial, Pulsify matches bills to the POs you raise there.

## Common mistakes

- Relying on the Approver field on the requisition header to control approval.
- Approving lines for a user whose PO Req Limit or PO Req Line Limit does not cover the amount.
