# How to route bill records by amount, vendor or project in MYOB Acumatica

In MYOB Acumatica, set approval workflow rules by amount, vendor or project. Put specific rules first, then a default for everything else and test with a real bill.

Routing bills means sending each bill to a different approver depending on its amount, supplier or job.

## Before you start

- Approval Workflow feature turned on in Enable/Disable Features (CS100000)
- Approval maps and assignment maps

## The MYOB Acumatica way

Where to find it: Approval Maps (EP205015); Accounts Payable Preferences (AP101000)

1. Turn on the Approval Workflow feature (Enable/Disable Features, CS100000).
2. On Approval Maps (EP205015) create a map with entity type Bills and Adjustments. Add steps and rules.
3. On each rule's Conditions tab pick an Entity, Field Name, Condition and value so the rule runs only when the condition is true.
4. Assign approvers. Steps can run in sequence, in parallel or both.
5. Activate approval for AP documents on Accounts Payable Preferences (AP101000).

## Limits in MYOB Acumatica

- Edits to an approved or rejected bill need it put on hold, and approval starts again after Remove Hold.
- The Approval Workflow feature must be on.

## Good to know in MYOB Acumatica

- Approvers can approve many bills at once on the Approvals form (EP503010). Reject from the bill itself.

## The Pulsify way

1. Open Approvals in Pulsify and add a step.
2. Add rows to the step. Each row can match a supplier, an amount range, an account or a tracking category.
3. Choose who approves each row: a person, a role or a team.
4. Add a second step for large amounts, or a review step for coding checks.
5. Set an auto-approve rule for trusted, small bills.
6. Use Try an invoice to see where a real bill would go.

Pulsify connects to MYOB Acumatica. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not reassign approvals and does not send reminders.

## Common mistakes

- Forgetting to activate approval for AP documents on Accounts Payable Preferences (AP101000) after building the map.
- Assuming amount or vendor conditions are on offer. The help does not list which fields can be used.
