# How to route invoice records by amount, vendor or job in Sage 300 CRE

In Sage 300 CRE, set pending invoice posting rules by amount, vendor or job. Put specific rules first, then a default for everything else and test with a real invoice.

Routing bills means sending each bill to a different approver depending on its amount, supplier or job.

## Before you start

- Authorization Codes set up if you use the Approval System
- Sage 300 CRE Accounts Payable, with a company setting for Pending Invoices or the Approval System

## The Sage 300 CRE way

1. Choose between the two built-in controls. Pending Invoices allow partly coded invoices to be entered and later moved out. A partner presentation says the setting can be Not Used, Single User or Multiple Users.
2. Or turn on the Approval System. It needs Authorization Codes, and invoices must be approved before they can be paid.
3. For rules that depend on amount, supplier or job, look at add-on products. A partner presentation notes that Sage Paperless may replace the Pending and Approval systems.

## Limits in Sage 300 CRE

- Routing by amount or supplier is offered by add-ons, not the base AP.
- The Sage help describes one built-in approval step. It describes no routing of an invoice to a different approver by amount, supplier or job in the base AP.
- The Authorization Codes control who can approve, not which invoices go to whom.

## Good to know in Sage 300 CRE

- The Approval System blocks payment until approval, which is stricter than Pending Invoices. Pending Invoices only hold invoices that are not yet fully coded.
- Partners such as RKL eSolutions describe both options in their AP and Cash Management training for Sage 300 CRE.

## The Pulsify way

1. Open Approvals in Pulsify and add a step.
2. Add rows to the step. Each row can match a supplier, an amount range, an account or a tracking category.
3. Choose who approves each row: a person, a role or a team.
4. Add a second step for large amounts, or a review step for coding checks.
5. Set an auto-approve rule for trusted, small bills.
6. Use Try an invoice to see where a real bill would go.

Pulsify connects to Sage 300 CRE. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not reassign approvals and does not send reminders.

## Common mistakes

- Expecting the base approval setting to send large invoices to a second approver.
- Treating the Allow Hold right as a routing rule. It lets a user hold invoices, nothing more.

## Common questions

### Can Sage 300 CRE route invoices by amount or supplier?

Not in the base AP. Routing by amount or supplier is offered by add-ons.

### What approval does the base AP offer?

Sources describe an approval system setting with one approval step. Anything beyond that, like amount thresholds, comes from an add-on.

### Can I route by job?

The Sage help does not describe job routing. Ask the add-on vendor or your Sage partner what rules their product supports.
