# How to set a default main account for each vendor in Dynamics 365 Finance

In Dynamics 365 Finance, open the vendor record and set a default main account and sales tax code. New vendor invoice lines will start with those and you can change any line.

A default account is the expense account a supplier's bills are coded to unless someone changes it. It saves time on repeat suppliers.

## Before you start

- Accounts payable admin

## The Dynamics 365 Finance way

Where to find it: Vendor groups and Vendors > Default account setup

1. Open Default account setup from Vendor groups or from the vendor.
2. Set the default offset accounts.
3. New invoice journal lines for those vendors pick up the account.

## Limits in Dynamics 365 Finance

- This is for invoice and approval journals.
- Vendor posting profiles control the payables ledger account, not the cost account.

## Good to know in Dynamics 365 Finance

- Invoice capture mapping rules can map vendor and item name to a product or account.

## The Pulsify way

1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the vendor in Dynamics 365 Finance.
2. Pulsify suggests an account for each line from how that vendor was coded on past bills in Dynamics 365 Finance.
3. Correct a suggestion when it is wrong. Later bills for that vendor follow the pattern.
4. Approve. The vendor invoice is created in Dynamics 365 Finance.

Pulsify connects to Dynamics 365 Finance. We set up the connection for you.

What Pulsify does not do here:

- There is no setting in Pulsify to fix a default account for a vendor. It learns from past bills.
- A default set on the vendor in Dynamics 365 Finance stays in Dynamics 365 Finance.

## Common mistakes

- Editing the vendor posting profile to set the cost account, when it controls the payables ledger account.
- Expecting the default offset account to apply outside invoice and approval journals.

## Common questions

### Where do I set default offset accounts for vendors?

Open Default account setup from Vendor groups or from the vendor. Set the default offset accounts. New invoice journal lines for those vendors pick up the account.

### Does the default apply to every invoice?

No. It is for invoice and approval journals. Vendor posting profiles control the payables ledger account, not the cost account.

### Can Invoice capture map accounts too?

Yes. Invoice capture mapping rules can map vendor and item name to a product or account.

### Does Pulsify let me set a default account?

Not as a setting. Pulsify learns each supplier's coding from past bills in your accounting system and suggests an account for every line.
