# How to set a default account for each vendor in NetSuite

In NetSuite, open the vendor record and set a default account and tax code. New vendor bill lines will start with those and you can change any line.

A default account is the expense account a supplier's bills are coded to unless someone changes it. It saves time on repeat suppliers.

## Before you start

- Permission: Vendors (Edit)

## The NetSuite way

Where to find it: Lists > Relationships > Vendors > Edit > Financial subtab

1. Open the vendor with Edit.
2. On the Financial subtab pick the Default Expense Account for purchases from this vendor.
3. Pick the vendor Default Payables Account and Terms if they apply.
4. Save.
5. For GST: in the Australia edition set a default Tax Code on the vendor (Financial subtab, or Subsidiary subtab in OneWorld). It applies by default on POs and bills and can be changed per transaction.

## Limits in NetSuite

- The default Tax Code must be available on purchase transactions (Available On = Purchase Transactions or Both) or you cannot select it.
- Oracle says Bill Capture fills in the matched vendor's default expense account by default.

## The Pulsify way

1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the vendor in NetSuite.
2. Pulsify suggests an account for each line from how that vendor was coded on past bills in NetSuite.
3. Correct a suggestion when it is wrong. Later bills for that vendor follow the pattern.
4. Approve. The vendor bill is created in NetSuite.

Pulsify connects to NetSuite. We set up the connection for you.

What Pulsify does not do here:

- There is no setting in Pulsify to fix a default account for a vendor. It learns from past bills.
- A default set on the vendor in NetSuite stays in NetSuite.

## Common mistakes

- Assuming the Default Expense Account fills every manual bill line, when Oracle says only that Bill Capture uses it.
- Picking a tax code that is not available on purchase transactions (Available On must be Purchase Transactions or Both), so it cannot be selected.

## Common questions

### Where do I set a default expense account for a vendor?

Open the vendor with Edit and go to the Financial subtab. Pick the Default Expense Account for purchases from this vendor. You can also set the Default Payables Account and Terms there.

### Will the default expense account fill my manual bill lines?

Oracle says Bill Capture uses the default expense account. For bills entered by hand, check on your own form whether the lines fill in.

### Can I set a default GST code on a vendor?

Yes in the Australia edition. Set a default Tax Code on the vendor (Financial subtab, or Subsidiary subtab in OneWorld). It applies by default on POs and bills and can be changed per transaction.

### Does Pulsify let me set a default account?

Not as a setting. Pulsify learns each supplier's coding from past bills in your accounting system and suggests an account for every line.
