# How to set a price tolerance on purchase order matching in Sage Intacct

Yes. Tick Enable match tolerances under Purchasing > Setup > Configuration and set a percent for quantity and unit price. A bill outside tolerance is saved as an exception until someone overrides it.

A price tolerance is the gap between the PO price and the invoice price that you accept without a query.

## Before you start

- Purchasing application
- Permission to configure Purchasing
- Business user with admin privileges
- Subscriptions: Purchasing, Accounts Payable and General Ledger
- Permission to list, view, add and edit PO transaction definitions

## The Sage Intacct way

Where to find it: Purchasing application > Configure Purchasing

1. Turn on match tolerances on the Configure Purchasing page.
2. Choose the transaction definitions to validate.
3. Set the percent tolerance for quantity and for unit price.
4. Review flagged exceptions and correct or accept them.
5. Go to Purchasing > Setup > Configuration and tick Enable match tolerances. Optionally choose a Match tolerance GL account. If you leave it blank, variances post by the account mapping in the transaction definition.
6. Under Transaction definition to validate, choose each definition and set Quantity tolerance percent and Price tolerance percent. A common set-up is to validate both the PO receipt and the PO purchase invoice.
7. Go to Purchasing > Setup > More > Transaction definitions. At least one definition you validate must post to Accounts Payable.
8. Give users permission to override exceptions. To review, go to Purchasing > All > Other transaction activity > View transactions and filter State by Exception, then select View exceptions or Exception summary.

## Limits in Sage Intacct

- Percent only, for quantity and unit price.
- Users need permission to override an exception.
- Match tolerances do not support partial conversion of purchase orders set to Close original and create back order.
- A definition listed for validation cannot be created as a standalone transaction. It must be converted from a source transaction.
- A transaction with a validated definition does not go through an approval workflow.
- Overriding exceptions cannot be done through the API or a CSV update.

## Good to know in Sage Intacct

- Overridden price variances go to the Match tolerance GL account.
- Example in the help: with a 10% price tolerance, a bill at $115 against a receipt at $100 is a 15% variance. The bill is saved in the Exception state and is not posted until someone overrides it.
- With a Match tolerance GL account set, the price difference posts to that account on override. With it blank, the full bill amount posts to the definition's accounts.

## Common mistakes

- Setting a percent tolerance that is too wide for large orders.
- Not giving the right users permission to override an exception.

## Common questions

### Where do I set the tolerance?

On the Configure Purchasing page in the Purchasing application. Turn on match tolerances, choose the transaction definitions and set the percent for quantity and for unit price.

### Can I set a dollar tolerance?

The help lists percent only, for quantity and for unit price.

### What happens when a line is over tolerance?

It is flagged as an exception. A user with permission corrects it or overrides it, and overridden price variances go to the Match tolerance GL account.

### Can I set a tolerance in Pulsify?

No. Pulsify matches to within 1 cent and shows any bigger difference as a flag. Your approver decides.
