# How to set up voucher approval in CloudSuite Industrial

CloudSuite Industrial has a match and authorise status, not multi-step routing by approver chain. Tick Voucher Authorization in Purchasing Parameters, then run the utility to move vouchers to Authorized.

Bill approval means a bill is checked and signed off by the right person before it is paid. A setup says who approves what.

## Before you start

- Purchasing Parameters access

## The CloudSuite Industrial way

Where to find it: Purchasing Parameters > General tab > Voucher Authorization

1. Open Purchasing Parameters and tick Voucher Authorization on the General tab
2. Set Voucher Tolerance Over and Under percentages (0 to 100)
3. Save (needs special authorisation)
4. Run the Voucher Authorization utility to move vouchers to Authorized, then post

## Limits in CloudSuite Industrial

- This is a match and authorise status, not a multi-step routing by approver chain
- Vouchers entered manually in A/P always start as Failed

## Good to know in CloudSuite Industrial

- The Authorizer field defaults from the PO Buyer for vouchers made from Purchasing
- Failed vouchers do not post
- Infor M3 is different: its docs describe a Payment Approval routine and a screen for authorizing, recoding and approving supplier invoices for payment (see M3 sources). Do not assume M3 steps apply to CloudSuite Industrial

## The Pulsify way

1. Connect CloudSuite Industrial to Pulsify. We set up the connection for you where needed.
2. Open Approvals. Every company starts with a default rule: any Admin or Approver can approve.
3. Add steps for amounts, suppliers or accounts. Choose a person, a role or a team as approver at each step.
4. Add a review step if someone should check coding before approval.
5. Use Try an invoice to test the rule on a real bill.
6. Add auto-approve rules for small or trusted bills if you want.

Pulsify connects to CloudSuite Industrial. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not reassign an approval to someone else.
- Pulsify does not send approval reminders.

## Common mistakes

- Keying vouchers manually and posting them without running the Voucher Authorization utility, so they stay Failed.
- Following Infor M3 approval screens. They differ from CloudSuite Industrial.

## Common questions

### Is this a multi-step approval chain?

No. It is a match and authorise status, not routing by an approver chain.

### Why does my voucher show Failed?

Vouchers entered manually in A/P always start as Failed, and Failed vouchers do not post.

### Who is the Authorizer?

The Authorizer field defaults from the PO Buyer for vouchers made from Purchasing.

### Does Pulsify support multi-step approvals?

Yes. You can set steps by amount, supplier or account. Approvers can be people, roles or teams. A review step is available.
