# How to split a payable invoice across jobs and cost codes in Sage 100 Contractor

In Sage 100 Contractor, add one line per job or job and cost code on the payable invoice, tag each line with job, phase, cost code and cost type and check the lines add up to the invoice total.

Splitting a bill across jobs or cost centres means giving each line of one supplier invoice its own job, department or project so costs land where they belong. In Sage 100 Contractor you do it with job, phase, cost code and cost type.

## The Sage 100 Contractor way

Where to find it: 4-2 Payable Invoices/Credits (Job Costs grid)

1. Enter the Job (and Phase if used) on the invoice header.
2. Each grid line has a Description, Price and Account. Use the Cost Code lookup to cost each line to a cost code.
3. On save, Sage prompts to create a job cost record, or use Save/Autocost to create cost records automatically.

## Limits in Sage 100 Contractor

- For a subcontract or PO invoice the Cost Code lookup first shows only the codes on that subcontract or PO. Change View by to see job, job and phase or all cost codes.

## The Pulsify way

1. Forward the supplier's invoice to your Pulsify address. Pulsify reads every row as its own line.
2. Review each line and set its account. Line-item coding learns from how that vendor was coded before.
3. Approve. The payable invoice is created in Sage 100 Contractor with one line per row.

Pulsify connects to Sage 100 Contractor. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not split a line by percentage. A shared cost needs separate lines with set amounts.
- Tagging a line to job, phase, cost code and cost type is done in Sage 100 Contractor unless the line already carries it.

## Example in Sage 100 Contractor

Example Timber Supplies sends one payable invoice for two jobs. Total $4,400. The $400 delivery fee is shared evenly.

- Framing timber, Example Job A: $2,200.00 (Job: Example Job A, cost code Framing)
- Framing timber, Example Job B: $1,400.00 (Job: Example Job B, cost code Framing)
- Delivery, Example Job A share: $200.00 (Job: Example Job A, cost code Freight)
- Delivery, Example Job B share: $200.00 (Job: Example Job B, cost code Freight)

Each grid line carries its own cost code. Example Job A totals $2,400 and Example Job B totals $1,600. Save/Autocost then creates the job cost records.

## Common mistakes

- Thinking a cost code is missing when the lookup only shows subcontract or PO codes.
- Entering the job but forgetting the Phase when the job uses phases.

## Common questions

### How do I cost each line to a cost code?

Each grid line has a Description, Price and Account. Use the Cost Code lookup on the line.

### Why does the Cost Code lookup show so few codes?

For a subcontract or PO invoice it first shows only the codes on that subcontract or PO. Change View by to see job, job and phase or all cost codes.

### What happens when I save?

Sage prompts to create a job cost record. Save/Autocost creates the cost records automatically.
