# How to split a supplier invoice across cost centres and WBS elements in S/4HANA

In S/4HANA, add one line per WBS element or cost centre on the supplier invoice, tag each line with cost centre, WBS element and internal order and check the lines add up to the invoice total.

Splitting a bill across jobs or cost centres means giving each line of one supplier invoice its own job, department or project so costs land where they belong. In S/4HANA you do it with cost centre, WBS element and internal order.

## Before you start

- Cost centre, WBS element or order master data
- For PO items: an account assignment category set on the PO item

## The S/4HANA way

Where to find it: Manage Supplier Invoices (F0859) > G/L Account Items. For PO items: Manage Purchase Orders or ME21N/ME22N > Account Assignment tab (multiple account assignment)

1. On a non-PO invoice add one G/L account item for each share and set the cost centre (or other accounting object) on each.
2. On a PO item set the account assignment category, then choose multiple account assignment and split by quantity or by percentage.
3. Say how a partial invoice is spread: in equal portions across all lines, or filled up one line after another (Partial Invoice field).
4. Post.

## Limits in S/4HANA

- A multiple account assignment split is set on the PO item, not on the invoice.
- Valuated goods receipt for multiple account assignment works only for cost centre, asset and project (with consumption posting).

## The Pulsify way

1. Forward the supplier's invoice to your Pulsify address. Pulsify reads every row as its own line.
2. Review each line and set its account. Line-item coding learns from how that supplier was coded before.
3. Approve. The supplier invoice is created in S/4HANA with one line per row.

Pulsify connects to S/4HANA. We set up the connection for you.

What Pulsify does not do here:

- Pulsify does not split a line by percentage. A shared cost needs separate lines with set amounts.
- Tagging a line to cost centre, WBS element and internal order is done in S/4HANA unless the line already carries it.

## Example in S/4HANA

Example Timber Supplies sends a supplier invoice with no PO. Gross Invoice Amount is $4,400.00 including 10% GST. Two G/L account items each carry a cost centre and a tax code.

- Framing timber, Site A: $2,000.00 (G/L account item: cost centre Example Site A)
- Framing timber, Site B: $2,000.00 (G/L account item: cost centre Example Site B)
- GST 10%: $400.00 (Tax Code on each item)

Each item is $2,000.00 before GST. Choose Check to see the account movements, then Post.

## Common mistakes

- Looking for a percentage split on the invoice, when a multiple account assignment split is set on the PO item.
- Using valuated goods receipt with multiple account assignment on anything other than cost centre, asset or project with consumption posting.

## Common questions

### How do I split a supplier invoice that has no purchase order?

Add one G/L account item for each share and set the cost centre, or another accounting object, on each item.

### How do I split a purchase order item?

Set the account assignment category on the PO item, then choose multiple account assignment and split by quantity or by percentage. The split is set on the PO item, not on the invoice.

### How is a partial invoice spread over the split lines?

Use the Partial Invoice field. It spreads the amount in equal portions across all lines, or fills up one line after another.
