# Invoice approvals in CloudSuite Industrial for manufacturers

CloudSuite Industrial covers part of invoice approvals on its own. Month end piles up because most invoices land in the last week. If approvals run through one person, the books close late.

## Why it matters for manufacturers

- Different spend needs different approvers. A maintenance bill goes to the plant manager and a raw material bill goes to purchasing.
- Auditors want to see who approved what and when, with limits that match the role.

## For manufacturers in CloudSuite Industrial

- A voucher made from Purchasing takes its Authorizer from the Buyer on the PO. Plant buyers therefore authorise their own supplier bills.
- Run the Voucher Authorization utility over a range of authorizers or vendors in Preview or Commit mode.

## Rules that matter for manufacturers in CloudSuite Industrial

- Voucher Authorization checks cost against the PO. It does not route by amount, so set the tolerance with finance and not only with the buyer.
- A buyer authorises bills for orders they raised. Auditors who want a second person need a separate control.
- No dedicated ABN field was found in the public Infor documents. Confirm where the ABN is held before onboarding suppliers.

## What CloudSuite Industrial does on its own

Voucher Authorization is a cost match gate and not approval routing. It sets each voucher to Matched, Failed or Authorized by comparing the PO cost with the voucher cost within the Voucher Tolerance Over and Under fields, and blocks posting of Failed vouchers. Vouchers entered manually in A/P always start as Failed.

- No amount-based approver chain

The Authorizer defaults from the PO Buyer for vouchers made from Purchasing.

## Example

Example Abrasives sends a voucher made from Purchasing. The PO cost is $2,000 ex GST. Voucher Tolerance Over is set to 2%. The plant buyer is the Authorizer.

- Voucher cost $2,030, inside tolerance: $2,030.00 (Matched, then Authorized by the utility)
- Voucher cost $2,150, outside tolerance: $2,150.00 (Failed. Does not post)
- Voucher keyed by hand in A/P: $1,800.00 (Always starts as Failed)

The buyer runs the Voucher Authorization utility in Preview, then Commit, then Process. Only authorized vouchers post. The failed one goes back to the buyer to deal with the supplier.

## Common mistakes

- Reading Voucher Authorization as an approver chain. It is a cost match gate.
- Using the Infor M3 Payment Approval routine as a guide. M3 is a different product.
- Keying vouchers by hand and expecting them to pass. They always start as Failed.

## Common questions

### Who approves a manufacturer's supplier bill in CloudSuite Industrial?

For vouchers made from Purchasing, the PO Buyer is the default Authorizer. The Voucher Authorization utility moves matched vouchers to Authorized. Manually keyed vouchers always start as Failed.

### What do auditors ask for on approvals?

They want to see who approved, the date, the limit that applied and any change to the bill after approval. Keep that record with the invoice.

### Does CloudSuite Industrial have an approval chain for invoices?

No. There is no amount-based approver chain. Voucher Authorization sets Matched, Failed or Authorized.
