# Line item coding for SYSPRO

SYSPRO has line item coding built in. Pulsify reads each line and suggests its ledger code and tax code from how that supplier was coded before.

Line item coding means giving every line on a supplier bill its own ledger code, tax code and tracking, not one code for the whole bill.

## What SYSPRO does on its own

GL Distribution pane spreads each invoice over ledger codes and jobs.

- Defaults come from supplier ledger codes.

## Setting it up in SYSPRO

Where to find it: Program List > Accounts Payable > Setup > Suppliers; AP Invoice Posting > GL Distribution pane

1. Open the Suppliers program and pick the supplier.
2. Set the merchandise and freight ledger codes against the supplier.
3. Save. AP Invoice Posting fills these in by default.
4. In AP Invoice Posting open the GL Distribution pane after entering the header.
5. Add one line per ledger code with its amount.
6. Post when the Undistributed value reaches zero.

## Good to know in SYSPRO

- If you leave the merchandise or freight ledger code blank, SYSPRO uses the ledger code from the Default merchandise setup option.
- Posted invoices are corrected one at a time with an adjustment, credit note or debit note.

## What Pulsify adds

1. Pulsify reads each invoice into individual line items.
2. Each line gets its own account and its own tax code.
3. The account comes from how that supplier's past bills were coded. The tax code comes from the rate printed on the line.
4. You check every value on an editable review screen before approval.
5. Bulk edit sets the account and tracking on every line of one invoice, or on many invoices at once.

Pulsify connects to SYSPRO. We set up the connection for you.

What Pulsify does not do:

- Pulsify aims for 99% accuracy on account and tax coding per line. You still review before approval.
- Splits are by line amount. There are no percentage splits.

## Common questions

### Can SYSPRO default the expense account for a supplier?

Yes, with merchandise and freight ledger codes on the supplier.

### Can I post before distributing the whole amount?

No. Post is unavailable until the whole amount is distributed.

### Is there a bulk recode?

No. Posted invoices are corrected one at a time with an adjustment, credit note or debit note.

### Do I need to set up coding rules?

No. Pulsify learns from how your team coded past invoices for each supplier. A coding note in the forwarding email is followed first.
