# Multi-entity accounts payable in S/4HANA for retailers

S/4HANA has multi-entity accounts payable built in. Retailers with many stores may run each as a separate entity or file. The same supplier is set up many times.

## Why it matters for retailers

- Head office buys under one agreement but stores are billed separately.
- GST, cost and cash sit in the right entity only if each bill is coded to it.

## For retailers in S/4HANA

- Stores are usually plants. Several plants can sit under one company code and one purchasing organisation. Code store cost to a cost centre per store.
- A purchasing organisation negotiates terms with suppliers and is used only in purchasing, so a central buying team can use one for all stores.
- Each separate legal entity needs its own company code, chosen on every invoice.

## What S/4HANA does on its own

The company code is the smallest organisational unit of external accounting with its own complete set of accounts. A group runs many company codes in one system and consolidates through Group Reporting.

Screens and apps differ between Public Cloud, Private Cloud and on-premise.

## Example

Example Wholesale Foods sends one invoice for a delivery to three stores owned by two entities.

- Delivery to Store A (Entity 1): $2,100.00 (Bill to Entity 1)
- Delivery to Store B (Entity 1): $1,700.00 (Bill to Entity 1)
- Delivery to Store C (Entity 2): $1,900.00 (Bill to Entity 2)

The bill is split by store and entity. Each entity claims its own GST and shows its own cost.

## Common mistakes

- Entering the whole bill in one entity.
- Setting up the same supplier under different names in each entity.

## Common questions

### Do retail stores need separate company codes in S/4HANA?

No. A store is normally a plant, and one company code can hold many plants. Use a separate company code only for a separate legal entity. A purchasing organisation can handle central buying for all stores.

### How should a retailer split a bill across stores?

Split by line to each store and entity from the delivery docket. Each entity should claim GST only on its own part.

### Is consolidation part of S/4HANA?

Consolidation is done in Group Reporting, which is a separate area from accounts payable.
