# PO matching for Sage 300 CRE

Sage 300 CRE covers part of PO matching on its own. Pulsify matches each bill line to a commitment line and flags extra quantity, a different price or lines not on the commitment.

PO matching means checking a supplier bill against the commitment it belongs to before you pay it.

## What Sage 300 CRE does on its own

Invoices are applied to a purchase order or subcontract commitment at entry. Invoices applied to a commitment post to the commitment payable account. A warning can fire when the total or units invoiced go above the commitment. Sage 300 CRE has no receipt based three-way match in base Accounts Payable.

## What you need in Sage 300 CRE

- Sage 300 CRE Accounts Payable
- A purchase order or subcontract commitment

## Setting it up in Sage 300 CRE

Where to find it: Accounts Payable > File > Company Settings > AP Settings > Invoice Settings > Warning message settings

1. Raise the purchase order or subcontract as a commitment.
2. Open Enter Invoices and pick the commitment on the invoice.
3. Enter the distribution lines for what the vendor billed.
4. Read any warning that the total amount or units invoiced exceed the commitment.
5. Post the invoice.

## Good to know in Sage 300 CRE

- A tolerance applies to the commitment total, not to each line. When an invoice sent from Procore goes over it, the import fails with the error: amount invoiced exceeds approved amount plus tolerance.
- Partial billing is several invoices against one commitment.
- Committed cost reports show original, change orders, invoiced, retainage, paid and balance.

## What Pulsify adds

1. Your open purchase orders come into Pulsify from Sage 300 CRE.
2. Pulsify links each invoice to its purchase order.
3. It matches each invoice line to a PO line and flags lines that bill more than ordered, are priced differently or are not on the PO.
4. A panel shows how much of the PO has been claimed, what this invoice adds and what is left. This handles part deliveries and progress claims.
5. Approve. The invoice is created in Sage 300 CRE against the commitment.

What Pulsify does not do:

- PO matching is two-way: invoice to PO. Pulsify has no goods receipts.
- There is no tolerance setting. Pulsify compares to the cent and the approver decides.
