# PO matching for Sage 50

Sage 50 covers part of PO matching on its own. Pulsify matches each bill line to a purchase order line and flags extra quantity, a different price or lines not on the purchase order.

PO matching means checking a supplier bill against the purchase order it belongs to before you pay it.

## What Sage 50 does on its own

Sage 50 Accounts Professional links an order to its delivery and to the invoice. You record a Goods Received Note against the order, then update the ledger with the invoice. The help describes no price or quantity tolerance and no check that the invoice agrees with the order.

- Order to receipt to invoice link only. No price or quantity tolerance rules found.

## What you need in Sage 50

- Sage 50 Accounts Professional (Purchase Order Processing)
- Stock on order for the GRN option

## Setting it up in Sage 50

Where to find it: Purchase Orders > Received Note

1. Raise the purchase order in Purchase Order Processing.
2. Open Purchase Orders, select the order and click Received Note.
3. Enter the Date Received, the Supplier GRN No and the quantity received on each line, or use Receive All.
4. Save the note. It shows on the Deliveries tab of the order.
5. When the supplier invoice arrives, record it against the order and compare the quantities and prices by eye.

## Good to know in Sage 50

- The GRN option works only for orders that show Part or Full in the On-Order column. Otherwise Sage shows 'Not all orders could be delivered or updated.'
- The order closes by itself once everything is received. Sage help also describes a Close PO option to close an order early (US edition).
- In the US edition the path is Receive Inventory, then Apply to Purchase Order. You can receive more or less than the ordered quantity.

## What Pulsify adds

1. Your open purchase orders come into Pulsify from Sage 50.
2. Pulsify links each invoice to its purchase order.
3. It matches each invoice line to a PO line and flags lines that bill more than ordered, are priced differently or are not on the PO.
4. A panel shows how much of the PO has been claimed, what this invoice adds and what is left. This handles part deliveries and progress claims.
5. Approve. The purchase invoice is created in Sage 50 against the purchase order.

Pulsify connects to Sage 50. We set up the connection for you.

What Pulsify does not do:

- PO matching is two-way: invoice to PO. Pulsify has no goods receipts.
- There is no tolerance setting. Pulsify compares to the cent and the approver decides.

## Common questions

### Does Sage 50 do three-way matching of order, receipt and invoice?

It links the three records, but the help describes no tolerance setting or automatic comparison. Staff check the invoice against the order and the Goods Received Note themselves.

### Do I need Sage 50 Accounts Professional for goods received notes?

Yes. Sage's knowledge base says Goods Received Notes are used in Sage 50 Accounts Professional. The option works only on orders that have stock placed on order.

### Can Sage 50 receive part of an order?

Yes. Enter the quantity that arrived on each GRN line. The order stays open until all items are received. One user reported the posted flag showing FULL while an invoice was still due.

### Does Pulsify stop a bill with a price difference?

No. Pulsify flags the difference on the bill. The approver decides whether to approve, reject or send it back.
